Executive Administrative AssistantWe are looking for an accomplished Executive Administrative Assistant to provide high-level support to senior leadership within a government-related organization. In this role, you will oversee executive schedules, manage confidential communications, and ensure smooth operational workflows. This is a contract to permanent position, offering the opportunity to transition into a long-term role based on performance.Responsibilities:Manage executive calendars, ensuring accurate scheduling of meetings, appointments, and travel plans.Prepare and edit reports, presentations, and detailed correspondence for senior leaders.Act as a liaison between executives and internal teams, board members, and external stakeholders.Coordinate materials for board meetings, ensuring compliance with governance policies and regulatory standards.Record meeting minutes and track actionable items, following up to ensure timely completion.Organize executive travel arrangements, including booking, expense reporting, and reimbursements.Plan corporate events, investor meetings, and leadership conferences with attention to detail.Maintain confidential records, contracts, and documentation, adhering to organizational policies.Assist with internal communications and public relations efforts, including drafting press releases.Support investor relations by coordinating earnings calls, annual meetings, and financial disclosures.Requirements:Associate degree in Business Administration, Communications, or a related field is preferred.At least 5 years of experience providing executive administrative support within a regulated or publicly traded company.Proven ability to work effectively with C-suite executives or Boards of Directors.Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.Strong understanding of financial reporting and regulatory compliance processes.Excellent written and verbal communication skills with a detail-oriented approach.Exceptional organizational skills and attention to detail, particularly with confidential information.Ability to manage multiple priorities in a fast-paced environment while maintaining discretion.
