Banknote Corporation of America is seeking a sophisticated and highly proactive Executive Administrative Assistant to serve as the primary support for our senior executive leadership team. This is not a traditional clerical role; we require a strategic partner who can manage complex logistics, perform advanced data analysis in Excel, and maintain a high level of security and confidentiality. The successful candidate will be the "right hand" to our leadership, ensuring operational efficiency through expert calendar management, travel coordination, and executive-level reporting.
Key Responsibilities:
- Executive Support: Provide comprehensive administrative oversight for C-suite/VP leaders, including aggressive calendar management and meeting prioritization.
- Global Logistics: Coordinate complex domestic and international travel arrangements. This includes managing visas (if applicable), ground transportation, and detailed itineraries. Occasional travel with the executive team may be required.
- Advanced Data Reporting: Build and maintain sophisticated Excel workbooks from scratch. Must be able to use pivot tables, VLOOKUPs, and macros to summarize operational data into executive-ready charts and reports.
- Financial Administration: Manage and reconcile high-volume expense reports and corporate credit card statements, ensuring 100% compliance with BCA fiscal policies.
- Communication Liaison: Act as a professional gatekeeper, screening incoming communications and interacting with high-level external stakeholders and board members.
- Document Production: Draft, edit, and proofread sensitive correspondence, board decks, and confidential internal memos with zero-error tolerance.
Qualifications:
- Experience: 5+ years of dedicated experience supporting C-suite or VP-level executives in a fast-paced corporate environment.
- Technical Mastery: Expert-level proficiency in Microsoft Excel (Pivot tables and data visualization) and the full Microsoft 365 Suite.
- Travel Readiness: Ability to travel as needed (estimated 25%) and manage travel logistics under tight deadlines.
- Discretion: Proven track record of handling highly sensitive or classified information with absolute confidentiality.
- Education: Bachelors degree preferred, or equivalent high-level professional experience.
