Executive Administrative Coordinator – Luxury Real EstateLocation: Fort Lauderdale, In-Office PositionType: Full-Time | On-Call Evenings & WeekendsAre you a highly organized, discreet, and service-driven professional with a strong background in luxury real estate administration? A top-performing real estate team specializing in high-end properties is seeking an experienced Executive Administrative Coordinator to join our fast-paced, dynamic environment.This role is integral to the team’s operations and will provide direct support to the Team Principal and the Team Principal’s Liaison, acting as the central point of coordination for day-to-day tasks, listings, client communications, and backend processes. The right candidate will bring a polished presence, exceptional organizational skills, and a deep understanding of the luxury real estate landscape. Serving as reliable backup support during vacation, sick days, or periods of high volume for the Team Principal and TP Liaison is a key priority of this role, ensuring continuity and seamless day-to-day operations.Key Responsibilities:Provide high-level administrative support to the Team Principal and team operations leadManage calendars, schedule appointments, and coordinate internal and client-facing meetingsPrepare listing agreements, marketing materials, and transaction documentation with precisionServe as liaison between agents, clients, vendors, and office managementMaintain listing databases (MLS, CRM, back-end systems) with accuracy and confidentialityHandle incoming inquiries with professionalism and a client-first attitudeSupport listing preparation, open houses, and occasional client-facing eventsBe available for after-hours and weekend communication and coordination, as neededQualifications:Minimum 3+ years experience in a similar administrative or operational role within a luxury real estate environment, a must.Deep understanding of real estate processes, timelines, and high-touch client expectationsMicrosoft Office, Google Workspace, MLS systems, and CRM platformsExceptional organizational and multitasking abilitiesPolished communication skills, both written and verbalAbility to maintain discretion with confidential and time-sensitive informationCalm under pressure, with a solutions-oriented mindset and strong attention to detailAvailability to work flexible hours, including weekends and evenings, as requiredWhat We Offer:Opportunity to work alongside a successful and highly respected luxury real estate teamExposure to elite clientele, prestigious listings, and top-tier industry professionalsA supportive and collaborative work culture that values initiative and discretionCompetitive compensation* based on experience*Please Note: This is a 1099 independent contractor position, not a W-2 employee role.
