About the Role:

As Kalmbach Feeds continues to grow, we are looking for passionate, hard-working team members who live our values and help us create new ideas, serve customers, improve our processes, build teams, and manage our growth. We are seeking an organized and versatile Executive Administrative Assistant to serve as a key pillar in the Office of the President. Reporting directly to the Chief of Staff & Director of Communications, this role provides administrative support to the President, with additional support to other senior leaders as needed. The ideal candidate is a proactive problem-solver who can seamlessly navigate between day-to-day administrative functions and big-picture strategic work.

Primary Responsibilities:

  • Executive Support: You will manage a complex executive calendar for the President and other senior leaders, ensuring schedule alignment with strategic priorities. You will coordinate travel logistics, as well as prepare agendas and presentation materials as needed, and process monthly expense reports.
  • Gatekeeping & Liaison: You will serve as the primary point of contact for internal and external stakeholders on matters pertaining to the President, handling inquiries with professionalism and confidentiality.
  • Communications Support: You will assist the Director of Communications in internal communications, which includes distributing internal messaging, formatting organizational announcements, and maintaining accurate employee distribution lists. You will also monitor news outlets and social media for company mentions and compile media coverage reports.
  • Media Coordination: You will act as a logistics coordinator for media activities, including scheduling interviews, greeting press visitors, and fielding initial media inquiries.
  • Special Event Support: You will occasionally support internal event coordinators in the planning and execution of sales conferences and dealer forums, including venue booking, attendee coordination, and on-site support as needed.
  • Operations Support: You will occasionally support operations with vendor relationships and project tracking for high-impact projects to ensure workflows run efficiently.

Who you are:

  • Experienced: You have 3+ years of administrative experience, preferably in a role supporting C-level executives or working within a manufacturing and/or headquarters environment.
  • Communicator: You possess strong editorial skills with the ability to proofread for grammar and consistency, and are capable of formatting professional reports.
  • Tech-Savvy: You have advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word). Experience with media monitoring tools or email marketing platforms is a plus.
  • Organized: You have a high attention to detail with the ability to manage distribution lists and complex schedules without error.
  • Driven: You are a dependable self-starter with the ability to work independently without constant direction. You thrive in a fast-paced, ever-changing environment.
