POSITION: ExecutiveAdministrative Assistant DEPARTMENT: Administration REPORTS TO: General Manager LOCATION: Resort EMPLOYMENT: Full-Time PAY RATE: $19.00-$25.00 perhour /Hour (Non-Exempt) LICENSE STATUS: Key- Employee DESCRIPTION: Provide high-level administrative support to the GeneralManager and PEFC by conducting research, preparing reports, handlinginformation requests, and performing clerical functions such as preparingcorrespondence, receiving visitors, arranging conference calls, and schedulingmeetings. Professionally and enthusiastically perform tasks at the direction ofthe General Manager in assistance of various departmental needs, issues,reports, scheduling, personnel assistance, documentation, organizationalcommunications, and all arenas as directed by the General Manager. Primary Responsibilities: RESPONSIBILITIES: ·Provide outstanding service to guests,internal and external, through active engagement and a positive attitude. ·Shall be required toread, implement, and adhere to all NWCR Policies and Procedures, LVD GamingOrdinance, Tribal/State Gaming Compact, NIGC Minimum Internal ControlStandards, Indian Gaming Regulatory Act, LVD Tribal Internal Control Standards,Title 31 Minimum Internal Control Standards, NWCR Casino Employee Handbook, Administrative Department Policy and ProcedureManual. ·Works efficiently and equitablyacross all organizational Departments, LVD Tribal Departments and the public asa direct representative of the organization and the General Manager. Prepares check requests,purchase requests, reports, memos, letters, and other documents using wordprocessing, spreadsheets, database, or presentation software as directedby the General Manager. Answers electroniccommunications, phone calls, and directs calls to appropriate parties ortakes messages. Sends calendar invitesand/or emails to notify managers of meeting dates and times. Works in coordination withTGRA and Casino Management to develop the System of Internal Controls(SICS) which consists of written policies, procedures, and standardpractices to maintain compliance through NIGC regulations. Coordinates with theDirector of Security to create and manage and retain the Casino Exclusionlist. Manages facility-widecalendar for the General Manager. Conducts research,compiles dates, and prepares papers for consideration and presentation bymanagement and committees. Attends all Management,PEFC and property meetings to record minutes while preservingconfidentiality. Sorts and prioritizesemails, memos, and reports for the General Manager. Performs general officeduties such as ordering supplies, maintaining records of computer-generateddocuments, and performing basic bookkeeping work. Files and retrievescompany documents, records, and reports. Demonstrates continuouseffort to improve operations, decrease turnaround time, streamlineprocesses, and works cooperatively with staff to provide quality service. Demonstrates interest anddedication to the organization through task completion as exemplified bythe General Manager. Organize and assist withcompany events and employee functions. May receive visits orcalls regarding complaints, which may be resolved or referred to properperson for resolution. Stocks supplies andmaintains equipment in the mail area. Maintains confidentiality, with unquestionableintegrity. Possesses seamless and effective communicationskills organization wide as exemplified by the General Manager. Due to the dynamic Casino Environment, from timeto time we require employees to be flexible and assume otherresponsibilities assigned by management. To remain in compliancewith Casino Regulatory policies and procedures, employees are required toattend all necessary meetings and trainings facilitated by Management. Required to actively participate in theLVD/Northern Waters Safety Committee. Skills & Qualifications: MINIMUMQUALIFICATIONS: High School Diploma orGeneral Education Degree (GED) Four years of secretarialexperience or a combination of training, education, and experience, thatprovides the required knowledge and abilities. Knowledge of officeprocedures, clerical, and recordkeeping operations. Excellent knowledge of therules of English grammar and composition. Sufficient skills intyping and the ability to take sufficient notes at a meeting, to preparean accurate record of events. Knowledge of officemachines. Must be highly organized,goal-oriented with a strong ability to multi-task. Possess excellenttime-management and problem-solving skills. Must possess the abilityto communicate expertly in both verbal and written correspondence. Must be able to performduties with minimal supervision. Ability to identifyproblems and implement or recommend solutions; interpret and applypolicies and procedures; deal diplomatically with the public; takeresponsibility; and use good judgement, within scope of authority. Ability to prioritizemultiple tasks, work effectively under stress, meet short deadlines, andtake direction. Ability to coordinatemultiple schedules and produce accurate work, despite frequentinterruptions. Ability to learn and usenew software programs, as systems are upgraded. Ability to organize tasksand time to ensure timely completion of all projects. Knowledge of departmentlocations and organizational structure. Experience with andability to use Microsoft Word, PowerPoint, Excel, Outlook, etc. Must pass background checks and otherpre-employment screenings necessary to receive and maintain a GamingLicense. PREFERREDQUALIFICATIONS: Associate’s or Bachelor’s degree in Business Administration, OfficeManagement or a similar field. Supervisory experience.
