Job Summary

We are seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to executives and teams within our organization. This role involves managing schedules, coordinating meetings, handling communications, and ensuring smooth day-to-day office operations. The ideal candidate will be detail-oriented, possess strong communication skills, and be adept at handling confidential information.

Key Responsibilities
  • Provide comprehensive administrative support to executives and teams.
  • Utilize business software applications (e.g., Microsoft Word, Excel, PowerPoint) to create reports, presentations, correspondence, and meeting materials.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Receive, screen, and direct calls, visitors, mail, and emails.
  • Maintain organized records, files, and confidential documents.
  • Assist in preparing and formatting documents, reports, and presentations.
  • Coordinate logistics for meetings, including agenda preparation and minute-taking.
  • Handle expense tracking and assist with financial and authorization processes.

  • Support office operations, ensuring smooth workflow and efficiency.
Qualifications & Skills
  • Proven experience in an executive or administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Ability to handle confidential business and personnel information with discretion.
  • Experience coordinating meetings, travel, and expense tracking.
  • Strong problem-solving skills and attention to detail.
  • Bilingual proficiency is a plus.
