Adriana's Insurance is looking for a highly organized and proactive Executive Assistant to support our CEO. In this influential role, you will serve as the primary point of contact between the CEO and internal/external stakeholders. You will manage a variety of administrative tasks that ensure the CEO can focus on strategic decisions and organizational growth. Your responsibilities will include scheduling meetings, preparing briefing materials, managing correspondence, and coordinating special projects as needed. As the Executive Assistant, you will also handle sensitive information with the utmost confidentiality and professionalism. Our ideal candidate is someone who demonstrates exceptional communication skills, thrives in a fast-paced environment, and has a keen attention to detail. Responsibilities

  • Manage and maintain the CEO’s calendar, including scheduling appointments and coordinating meetings.
  • Prepare and edit correspondence, presentations, and other documents for the CEO.
  • Handle confidential information with discretion and professionalism.
  • Organize and coordinate company events and special projects.
  • Act as a liaison between the CEO and various departments, clients, and stakeholders.
  • Perform research and compile reports as needed to assist in decision-making.
  • Provide administrative support to the executive team as required.

Requirements

  • Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, both verbal and written.
  • Ability to handle sensitive and confidential information with integrity.
  • Proficiency in office software, such as Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools.
  • Ability to multitask effectively and prioritize tasks in a fast-paced environment.
  • Strong problem-solving skills and a proactive attitude.
