Position Overview: As the Executive Assistant to the CEO, you will be the CEO's right-hand partner in ensuring operational excellence across both strategic and day-to-day administrative functions. This role involves managing the CEO's calendar, coordinating projects, supporting hiring efforts, preparing presentations, organizing travel, and handling confidential matters with the utmost discretion.

Key Responsibilities:

  • Executive and Administrative Support:
    • Assist the CEO in prioritizing and managing daily tasks and weekly goals.
    • Maintain and organize both professional and personal calendars, schedule appointments, and coordinate logistics for meetings and events.
    • Draft and respond to emails on behalf of the CEO, manage phone communications, and produce reports and presentations.
    • Organize and maintain paperwork, assisting the CEO with various personal tasks as needed.
  • Human Resources and Recruitment:
    • Coordinate hiring efforts by posting job openings, conducting initial phone screenings, scheduling interviews, and performing reference checks.
    • Ensure a smooth experience for candidates from interview through onboarding.
  • Communication and Information Management:
    • Prepare and edit correspondence and presentations with a professional touch.
    • Conduct research on competitors and industry trends to support strategic planning.
    • Uphold confidentiality on all business and personal information.
  • Event and Travel Management:
    • Plan and organize company events, special functions, and coordinate logistics with external vendors.
    • Make domestic and international travel arrangements for the CEO, ensuring every detail is handled.
  • Office and Project Support:
    • Support other departments with administrative tasks as needed, such as preparing client boxes, managing invoices, and ordering supplies.
    • Assist in office organization and manage routine clerical tasks to free up the CEO's time.

Expected Outcomes & Performance:

  • Maintain an organized email inbox and calendar for the CEO.
  • Coordinate hiring and project tasks efficiently and with attention to detail.
  • Complete assignments independently and manage time effectively, prioritizing tasks to align with the CEO’s goals.

Requirements

  • Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and Google Suite.
  • Exceptional communication skills, both verbal and written.
  • Highly organized, able to handle multiple tasks, and adaptable to shifting priorities.
  • A professional, service-oriented mindset with strong interpersonal skills.
  • Experience managing sensitive information with confidentiality and discretion.
  • Tech-savvy with strong typing skills (minimum 40 WPM) and familiarity with tools like Workable.
  • Reliable, punctual, and flexible regarding work hours and responsibilities.
