Function / Position Summary:
Provide administrative support to our early childhood programs, prioritizing tasks daily or as assigned, meeting project timelines. Facilitates communication with district/community partners, The Center staff and the ECBG staff. Work with the administrator to ensure the efficiency of daily operations as assigned. Consistently providing professional and courteous customer service in a timely manner.
Maintain confidentiality of student, staff and project information within the program.
Job Duties / Responsibilities
- Schedule, update and coordinate master calendars, meetings, and appointments for the programs on a daily basis. Prioritize tasks to meet timelines on a variety of projects (as assigned).
- Coordinate and distribute employment memos for the school year.
- Distribute, maintain and update the Administrative Policies and Procedures Handbook as needed by Grants Team
- Support Instructional Leadership Team with professional development credentialing process
- Facilitate the efficient placement of substitutes (as needed).
- Organize and present data to Project Director as needed.
- Account Management of various partner vendors, POs, and staff reimbursements
- Deposit monies, prepare for yearly financial audits and organize and compile weekly/monthly/annual reports and/or reconciliations as directed by the CFO.
- Maintain and manage program budgets
- Order supplies as needed and approved by supervising administrator.
- Event planning as needed by the Project Director
- Schedule and coordinate all functions to ensure the proper preparation in advance of school and/or events assigned.
- Maintain, develop, oversee contracts/communication/resource guide with community service providers as needed
- Willingness to learn and become proficient in advanced applications and specialized computer programs (Student Information Systems, ECBG Portal, etc.).
- Prepare, organize, update, and/or maintain confidential student and/or department files.
- Manage job postings, setting up interviews and hiring protocols.
- Manage licensure records
- Management of workforce data processing for project director, ECDEC/FIND staff (as assigned).
- Ability to communicate and interact with staff and co-workers in a professional manner

Education
High School diploma or equivalent required.
Associates or Bachelors degree preferred.
Experience / Knowledge
- Five (5) years of secretarial experience, preferably in an educational setting.
- Working knowledge of Microsoft Office suite and Google applications.
- Familiarity with IWAS preferred
- Ability to manage multiple concurrent projects, setting priorities to meet assigned
- Bilingual speaker preferred -Spanish
Physical Demands
Ability to work on a computer/telephone over the major portion of the day.
Ability to lift up to 25 pounds.
Terms of Employment
This is a 12-month position
Salary and benefits included
Ability to work from home 1 to 2 days per week
Salary Information
$30.00 - $40.00 per hour
