Position Summary
The Executive Assistant provides high-level administrative and operational support to executive leadership, enabling leaders to focus on strategic priorities. This role manages complex scheduling, communications, documentation, and coordination across internal departments and external stakeholders.
The Executive Assistant serves as a trusted partner to leadership, handling sensitive information with discretion while anticipating needs, managing priorities, and ensuring seamless execution of executive workflows.
Key Responsibilities:
- Provide comprehensive administrative support to executive leadership, including calendar management, meeting coordination, and travel arrangements.
- Manage executive schedules, prioritize appointments, and ensure efficient time management.
- Prepare agendas, presentations, reports, and briefing materials for meetings and executive reviews.
- Coordinate internal and external meetings, including leadership meetings, board meetings, and cross-functional discussions.
- Serve as a primary point of contact between executives and internal teams, clients, and external partners.
- Draft, review, and manage executive correspondence, emails, and communications.
- Track action items, deadlines, and follow-ups to ensure timely completion.
- Assist with special projects, strategic initiatives, and confidential matters as assigned.
- Maintain organized records, files, and documentation in compliance with company policies.
- Uphold professionalism, confidentiality, and discretion at all times.
Essential Functions:
- Support executive operations to ensure smooth and efficient workflows.
- Manage multiple priorities in a fast-paced environment with minimal supervision.
- Communicate clearly and professionally with stakeholders at all levels of the organization.
- Anticipate executive needs and proactively address issues before they arise.
- Maintain confidentiality and handle sensitive information with integrity.
- Support team collaboration and productivity through clear direction and communication.
- Maintain confidentiality and uphold professional standards.
- Perform other duties as assigned to support department objectives.
Qualifications
- Proven experience as an Executive Assistant or in a senior administrative support role.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication skills.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, Zoom, etc.).
- Ability to work independently while managing competing priorities.
- High level of professionalism, discretion, and judgment.
- Experience supporting executive-level leaders preferred.
- Bachelor’s degree or equivalent experience preferred.
- Ability to accept and apply constructive feedback with professionalism.
- Demonstrated accountability and ownership of outcomes.
Preferred Skills
- Experience supporting C-suite or senior leadership in a healthcare or regulated environment.
- Strong attention to detail with the ability to anticipate needs.
- Comfort handling confidential and sensitive matters.
- Experience coordinating travel, expense reporting, and executive events.
