Job Description Beacon Clinic was founded for the purpose of delivering a level of care that we, as a team, can all be proud of. We were founded in 2018 by Dr. David Bartels, focusing on cancer and blood conditions. Today, we provide care services to Medical Oncology and Hematology, Radiation Oncology, Rheumatology, and Urology patients. We are also dedicated to advancing the field by engaging in clinical research and offering our patients the opportunity to participate in various clinical trials. Learn more about us at our website. We are seeking an experienced and motivated Executive Assistant to provide high level administrative support to the C suite within a fast-paced healthcare organization. This role manages complex schedules, ensures effective communication and coordination across departments, and supports strategic initiatives that advance organizational priorities. The ideal candidate is proactive, highly organized, and comfortable navigating sensitive and confidential information in a healthcare environment. Duties/Responsibilities Manage complex calendars, scheduling, and coordination of internal and external meetings for multiple C suite executives Prepare executives for meetings, including creating agendas, assembling briefing materials, and tracking follow-up actions Serve as a liaison between the C suite and internal teams, providers, board members, and external partners Draft, edit, and proofread correspondence, presentations, reports, and other executive-level documents Support executive travel planning, including itineraries, logistics, and expense reporting Maintain understanding of organizational priorities to effectively manage competing demands Help coordinate board meetings, leadership retreats, and organizational events Track key deadlines, deliverables, and strategic initiatives to ensure timely completion Safeguard highly confidential information in compliance with HIPAA and organizational policies Support special projects and process improvements across the administrative and executive teams Required Skills/Abilities Experience supporting multiple executives simultaneously Familiarity with healthcare terminology, compliance requirements, and organizational structures Project coordination or process improvement experience Bachelor’s degree in business administration, healthcare administration, or related field strongly preferred Preferred Qualifications 5+ years of executive administrative experience, preferably supporting senior leadership Experience in healthcare administration or a regulated industry strongly preferred Strong written and verbal communication, and organizational skills High degree of professionalism, discretion, and judgment Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) Proven ability to manage multiple priorities and work proactively Strong problem-solving and organizational skills Location May be asked to work at both locations 3815 N Schreiber Way, Suite 101, Coeur d'Alene, ID 83815 1641 E Polston Avenue, Suite 102, Post Falls, ID 83854 Benefits Generous Paid Time Off 8 paid, closed-clinic holidays Health Insurance, including dental and vision 401(k) Plan Gym membership Professional Development Fund Beacon Company Mission To meet patients wherever they are on their cancer journey and walk with them on that journey; to provide compassionate, personalized cancer care for an unparalleled patient experience.
