Job Description

Seeking a highly capable and proactive Executive Assistant to join our team in Conshohocken, Pennsylvania! In this role you will support senior leaders across Portfolio Management, Finance, and Marketing, by expertly managing time, information flow, and execution in a fast-paced, dynamic environment. The ideal candidate must be able to thrive in complexity, anticipating needs, and driving follow-through while bringing structure, clarity, and momentum to daily operations. Responsibilities:

  • Calendar Strategy & Priority Management: Align schedules to business priorities, resolve conflicts, and establish prioritization frameworks.
  • Stakeholder Management & Communication: Act as a primary liaison for internal and external stakeholders, managing communications and fostering strong cross-functional relationships.
  • Meeting Preparation & Coordination: Develop agendas, materials, and track action items to drive accountability and outcomes.
  • Project & Cross-Functional Coordination: Align stakeholders, oversee timelines, and synthesize information to support decision-making.
  • Travel & Logistics: Coordinate complex domestic and international travel, ensuring seamless logistics and timely, accurate expense management.
  • Confidentiality & Judgment: Handle sensitive information with discretion while exercising sound judgment in fast-paced, ambiguous situations.


Qualifications:

  • Minimum 8 years of experience supporting multiple senior leaders simultaneously (VP level or above)
  • Experience in dynamic, high-growth, complex organizations
  • Proficiency with Microsoft Office (Outlook, PowerPoint, SharePoint, Teams) and collaboration tools (e.g., shared document platforms)
  • Proficiency with a customer relationship management tool (preferably HubSpot)
