Who We're Looking For

The Executive Assistant provides high-level administrative and operational support to the Chief Executive Officer (CEO) and senior leadership team. This role requires exceptional organizational skills, discretion, and sound judgment to effectively manage complex schedules, communications, projects, and sensitive information within a fast-paced environment. The Executive Assistant serves as a trusted liaison between the CEO, internal teams, and external stakeholders, ensuring seamless operations and the timely execution of executive priorities.

Key Responsibilities

  • Perform executive and business-related errands as required.
  • Manage the CEO’s calendar, travel, meetings, and daily communications
  • Coordinate executive meetings, events, minutes, and visitor interactions
  • Serve as liaison across internal teams and external clients, vendors, and partners
  • Support Business Development and Marketing initiatives, including travel and materials coordination
  • Process payments, deposits, wires, transfers, and credit card dispute resolution; assist with vendor coordination as needed
  • Maintain strict confidentiality and ensure HIPAA and organizational compliance
  • Demonstrate professionalism, reliability, sound judgment, and collaborative teamwork
  • Perform additional duties as assigned

Qualifications

  • Bachelor’s degree in business administration, Healthcare Administration, Finance, or a related field preferred
  • Minimum of 2 years of experience in an executive assistant, senior administrative, or business office support role preferred
  • Prior experience within an addiction or mental health treatment setting strongly preferred
  • Current CPR certification and CPI certification (or ability to obtain)
  • Experience in an addiction or behavioral health setting preferred
  • Advanced proficiency in Microsoft Office and business office systems
  • Exceptional organizational, time-management, and multitasking abilities
  • Strong analytical, written, and verbal communication skills with the ability to prepare executive-level reports
  • High level of professionalism, discretion, integrity, and independent judgment
  • Ability to supervise staff, provide feedback, prioritize competing demands, and meet deadlines with minimal supervision
