Atlas is hiring Executive Assistant for large organization in the Nashville/Donelson, TN area. Executive Assistant position will support Maintenance Vice President. If you enjoy fast pace and maintaining administrative processes, then this is the position for you!

Executive Assistant

Job Summary: The Administrative Assistant (Maintenance) performs administrative support duties to ensure efficient operations of the Maintenance, Environmental, and Safety departments. Other responsibilities include supporting multiple department leaders with a variety of tasks related to organization and communication. Performs related duties as required.

Selection Process: Microsoft Office Skills Assessment (online); Onsite interview with VP & Direct Reports

Pay: $25 per hour

Schedule: Monday - Friday, 7a-4pm

Status: Contract - six months

Location: Onsite/Donelson, TN

Essential Job Responsibilities:

  • Coordinates activities within department providing direct support for director or above.
  • Answers and directs phone calls in a professional manner.
  • Greets and directs visitors, answers inquiries, and creates a welcoming environment.
  • Receives, sorts, and distributes mail.
  • Organizes and schedules meetings and appointments.
  • Produces and distributes correspondence memos, letters, faxes, and forms.
  • Prepares staff reports and participates in staff meetings.
  • Handles sensitive information in a confidential manner.
  • Orders and maintains office supplies for department.
  • Organizes and books travel arrangements.
  • Receives invoices, reviews for accuracy, and submits for payment.
  • Assists in preparing presentations and materials.
  • Maintains on-time regular attendance.
  • Performs other duties as assigned.

Qualifications:

  • High School Diploma
  • 3-5 years administrative, or office management experience in a professional corporate setting.
