Intro

Activate is looking for a highly organized, detail-oriented, and proactive Executive Assistant to support our Business Development team and CEO.


This is not a traditional admin role.


This person will sit at the center of our new business efforts, supporting client conversations, managing follow-ups, coordinating meetings, and helping ensure every opportunity moves forward smoothly.


If you’re someone who loves being in the middle of the action, thrives on organization, and takes pride in making things run seamlessly, this role is for you.


What You’ll Do

  • Sit in on client and internal business development calls and capture key notes and action items
  • Manage scheduling across the Business Development team and CEO
  • Coordinate follow-ups with clients and prospects
  • Help maintain and track the new business pipeline
  • Support outreach efforts and re-engage past clients
  • Plan travel, client meetings, dinners, and entertainment
  • Coordinate and send client gifts and thank-you messages
  • Help prepare materials for client meetings and pitches


What We’re Looking For

  • Highly organized and detail-oriented
  • Strong communicator (written and verbal)
  • Proactive; you don’t wait to be told what to do
  • Comfortable interacting with clients and senior leadership
  • Able to manage multiple moving pieces at once
  • Positive, reliable, and easy to work with


Backgrounds That Tend to Do Well

  • Executive assistants or administrative professionals
  • Sales or business development support
  • Event coordination or hospitality
  • Account coordination in agency environments
