We are seeking a proactive and organized Executive Assistant to support our team and contribute to the efficient functioning of our firm. Job Summary The Executive Assistant will provide high-level administrative support to the team, ensuring smooth daily operations, managing schedules, coordinating meetings, note taking and task management and handling confidential information with discretion. The ideal candidate will be detail-oriented, highly organized and able to work in a fast-paced environment, demonstrating excellent communication skills and a proactive approach to problem-solving. Key Responsibilities Executive Support Manage and maintain the schedules, including meetings, travel arrangements, and appointments. Serve as the primary point of contact for internal and external communications Prepare and edit correspondence, presentations, and other documents as needed. Meeting Coordination Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. Ensure meeting materials are prepared and distributed in advance. Project Management Assist with special projects, including research, data collection, and analysis. Track progress and provide regular updates on project timelines and deliverables. Administrative Support Manage and prioritize incoming communications, including phone calls, emails, and other correspondence. Maintain accurate and organized filing systems for documents and records. Event Planning Coordinate company events, team-building activities, and client meetings, including logistics, invitations, and follow-up communications. Office Management Assist with office management tasks, including supply inventory, equipment maintenance, and liaising with vendors as needed. Education Bachelor’s degree in Communications, Business Administration, or a related field preferred. Experience Minimum of 10 years of experience as an Executive Assistant, preferably in a communications, public relations, or marketing firm. Skills Excellent written and verbal communication skills. Strong organizational and time-management abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to work independently and prioritize multiple tasks. High level of professionalism and discretion. Strong attention to detail and problem-solving skills.
