Bachelor’s Degree or Equivalent Experience Preferred 3+ Years of administrative or executive support experience Strong proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) Excellent written and verbal communication skills Strong time-management and multi-tasking abilities Ability to work independently and anticipate needs Fluency in German – both written and spoken – is beneficial but not required Knowledge, Skills and Abilities: Organization and prioritization is key. Problem-Solving ability Professional Communication Attention to Detail Relationship Building Confidentiality Essential Functions: Administrative Support: Manage executive calendars, schedule appointments, meetings, and travel arrangements. Prepare briefs, meeting agendas, presentations, and reports Handle phone calls, e-mails, and correspondence on behalf of executives and leadership team. Maintain organized filing systems (digital and physical). Communication & Coordination: Serve as a primary point of contact between executives and internal/external stakeholders Coordinate cross-department communication and follow up on action items. Draft, proofread, and edit communication materials. Project and Office Management: Assist with planning and execution of projects and events. Conduct research, prepare summaries, and support decision-making processes. Track deadlines, deliverables, and project updates Handle expense reports, invoices, and basic budgeting tasks. Confidentiality & Professionalism: Manage sensitive information with discretion Demonstrate sound judgment and a professional demeanor in all interactions. Primarily an office setting.
