Job Description Executive Assistant Office of Strategic Executive Support Entity: Loma Linda University Medical Center Executive Assistants will provide advanced administrative and executive‑level support, partnering closely with senior leaders to manage priorities, coordinate complex activities, and support organizational initiatives. This role is part of a centralized executive support team within the Office of Hospital Administration and offers significant professional development and exposure to executive leadership and enterprise‑wide operations. Great Development Opportunity Direct partnership with senior and executive leaders Exposure to governance, strategic initiatives, and system‑wide priorities Opportunity to build advanced executive support skills within a centralized, best‑practice model Strong visibility and growth potential within a complex academic medical center Key Responsibilities Serve as a trusted administrative partner to senior and executive leaders Manage complex calendars, scheduling, and executive travel Prepare executive‑level correspondence, reports, presentations, and briefing materials Coordinate executive meetings, committees, and governance‑related activities Handle highly sensitive and confidential information Support cross‑functional initiatives and coordination across departments Contribute to process improvement and standardization of executive support practices Required Qualifications Experience providing administrative or executive support to senior leaders or leadership teams Strong organizational, communication, and problem‑solving skills Ability to manage multiple priorities in a high‑visibility, fast‑paced environment Demonstrated professionalism, discretion, and sound judgment Advanced proficiency in Microsoft Office and related tools Preferred Qualifications Experience in healthcare, academic, or complex organizational settings Experience supporting multiple executives or executive committees Experience in a centralized or enterprise‑level executive support model Education And Experience Bachelor's Degree required. Experience may be considered in lieu of degree. Minimum five years of senior level administrative experience required, preferably in healthcare, academic, psychiatric and/or outpatient setting. Knowledge And Skills Knowledge of medical terminology preferred. Able to read, write and speak with professional quality; proficient in word processing software (Microsoft Word, Excel, PowerPoint, etc.) and other computer and software programs necessary for the position. Must be knowledgeable of office business machines. Able to develop charts and graphs. Ability to work with people in a tactful and diplomatic manner. Relate well with team members and be able to deal with conflict and criticism objectively and maintain confidentiality. Ability to exercise judgment in sensitive and confidential matters. Perceives a need and takes initiative to accomplish tasks. Has high proficiencies in grammar and able to express thoughts clearly and concisely. Able to proofread for context and content accuracy. Able to perform basic math functions. Able to follow simple and complex instructions. Must be able to manage multiple assignments to completion, work independently without frequent supervision, problem solve and make independent decisions. Recognize faces, hear on the phone/in person/in the environment, and see or hear equipment indicators. Able to distinguish colors as necessary; hear sufficiently for general conversation in person and on the telephone, and identify and distinguish various sounds associated with the workplace; see adequately to read computer screens and written documents necessary to the position.
