Overview:
As a vital member of the SAP North America Midmarket Sector, the Executive Assistant to the Managing Director and Regional Vice Presidents within the business unit will deliver exceptional administrative support to ensure the efficient coordination and seamless functioning of the Midmarket Sector organization. This role encompasses managing complex schedules, organizing high-level meetings, and executing various administrative tasks to facilitate the success of the business unit.

SAP Americas Midmarket Sector is key to the company's growth. Midmarket includes midsize companies that span across all industries where SAP emphasizes their Cloud ERP solution, S/4HANA Cloud Public Edition to establish new customer bases primary growth strategy. Midmarket Sector works with Business Partners within the SAP ecosystem.
Key Responsibilities:
1. Oversee ongoing correspondence and manage the daily agenda of the Managing Director and Regional Vice Presidents. This includes scheduling meetings, appointments, and travel arrangements, as well as managing the overall calendar of events, critical timelines, and resolving time management and scheduling conflicts.
2. Partner closely with S/4HANA Cloud Public Edition leadership and other cross-brand team leaders to coordinate pre-reads and briefing materials for meetings, ensuring easy access to these materials via calendar placeholders.
3. Maintain and organize files, documents, and records with the utmost confidentiality and efficiency.
4. Coordinate and manage logistics, invitations, IT requirements, and materials for various engagements and assist in planning and execution as needed.
5. Communicate and coordinate effectively with team members, clients, and partners. Act as a liaison with other departments and external stakeholders to ensure smooth collaboration.
6. Work closely with office to plan and document travel itineraries, accommodations, and transportation to ensure seamless travel experiences.
7. Process and track expense reports, ensuring they comply with company policies and are submitted in a timely manner.
8. Handle various ad-hoc administrative tasks and projects as assigned to support the dynamic and ever-evolving needs of the Midmarket Sector across North America.
9. Perform analysis, information collection/consolidation, and other tasks as needed to enable success of the overall team.
Qualifications:
1. Bachelor's degree in Business Administration, Management, or a related field is preferred.
2. Minimum of 3-5 years of experience working with global teams in a fast-paced environment.
3. Strong organizational and time management skills.
4. Excellent written and verbal communication skills.
5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
6. Adept in SharePoint (folder creation, links, authorizations).
7. Ability to manage multiple tasks and prioritize effectively.
8. High attention to detail and level of accuracy.
9. Discretion and ability to maintain confidentiality.
10. Ability to work flexible hours outside of normal working times to accommodate for diverse timezones.
