About The Role
We are seeking a talented and highly motivated Executive Assistant. This EA will be aligned to our Head of Engineering in our Product & Engineering team. This team member should be capable of providing strategic and operational support while being a strong partner to the rest of Product & Engineer senior leadership and cross functional partners. Sunnyvale location office is preferred.
What You'll Do
- Provides strategic , administrative, and operational support to one corporate executive
- Manages heavy calendar (via Outlook) and meeting management responsibilities, to include worldwide travel planning and scheduling, as well as expense reconciliation, in a company experiencing rapid growth. Being able to manage constant requests that span multiple time zones and after traditional work hours .
- Manage multiple projects simultaneously, including but not limited to:, leadership team agenda and facilitations, metrics reporting,, department meetings and team events. Some travel including international travel for these events may be required.
- Establishes high-level contacts of a sensitive nature inside and outside the company and maintains those relationships.
- Proactively prioritize executive's time and commitments -- always one step ahead and making decisions for today that are based on the timeline of future events.
- Proactively addresses all aspects of travel such as security and threat levels, currency, weather, and destination culture advice to executive, to ensure effective use of time and resources to promote productivity
- Management of complex annual review and mid-year promotions cycles. May include schedule review sessions, communicated deadlines, and aiding in appropriate documentation.
- Engagement is required with other senior leaders of the organization, which may include C-level and external executives.
- Possesses professional expertise, applies company policies and procedures to resolve a variety of issues.
- Exercises judgment within defined procedures, practices to determine appropriate action, and handling company proprietary information & practices
- Can establish Influences within the Product & Engineering team and builds relationships outside of the immediate area to accomplish objectives.
- Assist with complex project management requiring finesse, flexibility, and patience. Prioritize deliverables as objectives and business needs dictate.
- Ability to handle sensitive matters and exercise sound judgment, discretion, and confidentiality.
- Executive interfacing skills, particularly in written and verbal communication -- ability to communicate clearly and concisely across all levels of the organization, with maximum attention to detail.
- Can identify and address imminent issues and takes actions to avoid and with little to no direction.
- Proactively identifies opportunities for improvement and suggests or implements solutions.
- BA/BS or equivalent educational background is preferred.
- Minimum 5+ years of relevant professional experience in direct executive support.
- Routine engagement experience at the President and CEO executive level is required.
- Advanced GSuite skills
- Previous experience with Google Drive Suite, Slack, Workday, Expensify, Confluence, and Coupa.
- Prior experience providing support to VP or c-suite level management - or equivalent
- Experience in a high-tech, startup, or a company experiencing rapid growth
- Previous experience with Product or engineering team
- Cybersecurity industry knowledge
