Executive Assistant to CEO

Location: Pittsburgh based with hybrid work schedule option (up to 3 days remote weekly)

Starting salary: $ 50,000 - $52,000

Position Description:

The Executive Assistant provides a wide variety of essential administrative and support services to the CEO, leadership team, and board of director committee chairs.

The essential functions of this position include:

Prepare correspondence and reports, take and prepare meeting minutes, and perform advanced confidential administrative support duties requiring knowledge of the organizations policies and practices

Compile, produce, and distribute board meeting agenda, minutes, and supporting documentation

Serve as the project manager for governance meetings

Coordinate and oversee logistics and planning for the annual meeting

Work closely with key board members and volunteers

Coordinate insurance renewals, gather information from department heads, and prepare and submit final documentation

Give appointment reminders, arrange and confirm meetings, make travel arrangements

Requirements:

  • Minimum of a 2-year college degree in business administration, office management, or related field or equivalent professional work experience
  • 3+ years of administrative experience in a professional office environment which includes providing office and administrative support to senior level management staff
  • Working knowledge and experience working with Roberts Rules of Order
  • Ability to plan, organize, and prioritize work while managing multiple deadlines
  • Must be able to meet critical deadlines and work on multiple projects simultaneously
  • Proficient in Outlook, Word and Excel
  • Excellent communication skills and the ability to communicate clearly
  • Must be organized, detail orientated, and customer focused
  • Ability to make sound judgement in decision making and to work independently
  • Some travel throughout western PA is required; valid transportation is required
  • Occasional evening and some weekend work is required
