Position Summary

The Executive Assistant (EA) to the COO serves as a trusted strategic partner, enabling the COO to operate at maximum effectiveness across a complex, global organization.

This role goes beyond calendar management—acting as a gatekeeper, communicator, and operator who anticipates needs, drives follow-through, and ensures alignment across the COO’s direct reports and teams.


Success in This Role

  • COO is well-prepared, focused, and operating efficiently
  • Meetings are organized, decisive, and action-oriented
  • Priorities and initiatives move forward with clarity and accountability
  • Stakeholders experience seamless, professional communication
  • EA is viewed as a trusted partner


Key Responsibilities

  • Serve as an extension of the COO—anticipating needs, managing priorities, and ensuring focus on high-impact initiatives
  • Drive follow-up on key decisions, action items, and strategic initiatives
  • Manage and optimize the COO’s complex calendar across multiple time zones
  • Prepare agendas, briefing materials, and executive correspondence
  • Plan and coordinate meetings; track actions, decisions, and follow-ups
  • Manage domestic and international travel logistics and itineraries
  • Support executive meetings, offsites, and leadership events
  • Build relationships across stakeholders and act as a professional gatekeeper
  • Handle sensitive and confidential information with discretion


Qualifications

  • 8+ years supporting C-suite executives in a fast-paced, global organization
  • Experience in complex, matrixed environments
  • Strong organizational and time management skills with ability to manage competing priorities
  • Sound judgment and ability to handle confidential information
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office, Google Workspace, and collaboration tools
  • Ability to work across time zones and flexible schedules


Additional Information

  • Adhere to all company policies and procedures
  • Attend meetings and training sessions as required
  • Other duties may be assigned based on business needs
