Job Description
Millex is seeking a full-time Executive Assistant to partner with the Managing Director in driving company operations, with a strong focus on sales coordination and customer-service issue resolution. This role ensures follow-through on action items, maintains visibility across active opportunities and issues, and helps keep the organization moving efficiently. This is not a secretary role—it is an operational support position that contributes directly to sales momentum, customer satisfaction, and execution across teams.
Core Focus Areas
• Sales Coordination: Track active opportunities, follow up with internal teams, and ensure quotes, clarifications, and documents are delivered promptly to customers. Confirm status with customers after sent.
• Marketing: Coordinate trade show details. Manage social media postings.
• Customer-Service Issue Resolution: Monitor open issues, coordinate responses, gather inputs from engineering/production, and ensure commitments are met.
• Action-Item Ownership: Capture, organize, and drive completion of tasks from meetings and conversations; escalate risks early and keep stakeholders informed.
What You Will Do
• Coordinate daily with the Managing Director on sales priorities, customer issues, and cross-department follow-ups.
• Attend key meetings to document decisions and action items; maintain an organized action register and ensure deadlines are met.
• Handle, prioritize, and organize correspondence related to sales, customer care, and internal operations.
• Prepare and present concise reports on sales status, customer issues, and operational follow-up.
• Maintain accurate, accessible information across business systems.
• Communicate professionally with customers to gather details, provide updates, and close the loop on commitments.
• Arrange travel and manage meeting schedule for Managing Director.
What You Bring
• 3+ years in an administrative, coordinator, or operations support role.
• Proven strength in time management, prioritization, and multitasking in a fast-moving environment.
• Exceptional attention to detail, organization, and follow-through.
• Clear written and verbal communication skills for internal and external audiences.
• Proactive problem-solver who anticipates needs and drives outcomes with minimal supervision.
• Discretion with confidential matters; dependable and punctual.
• Experience in manufacturing and/or construction preferred.
Tools & Systems
• Microsoft O365 (Outlook, Excel, Word, PowerPoint).
• CRM experience; ability to learn company software quickly.
