Job Brief

You are responsible for advice, execution and support regarding organizational and administrative processes of the Directors office.

With immediate effect, the Directors office of MSF-Netherlands is looking for a;

Executive Assistant (100%)

(6 Month Temp Role & Amsterdam Based)

Position

You are responsible for advice, execution and support regarding organizational and administrative processes of the Directors office.

Accountabilities:

1. Reports and results of assigned desk research, intended for decision making, including those related to the Control Cycle process, audits and Board Committees.

2. Agenda for and minutes/ overview of decisions taken in meetings and of the status of agreed actions.

3. Production of documents, such as (electronic) correspondence, SOPs or formal documents including their legalization and/or review/ approval by various stake holders

4. Progression of and order in assigned processes such as invoice approval, declarations sign-off

5. Support to keeping a relevant network with internal MSF stakeholders and external relations, such as authorities, NGOs, etc.

6. Clarity/ transparency/ awareness of administrative processes by/ towards staff, including during onboarding/ induction of new staff and offboarding of staff

7. Privacy and completeness of, and order in, (electronic) files (SharePoint) and assigned administrations/ databases, in accordance with standards

8. Order in your manager/supervisor(s) agenda and meetings, agenda of and invitations for those meetings

9. Events organisation and project management departmental/unit projects, small and large, including venue, facilities, possibly speakers

Candidate Profile

  • Higher education level and/or a minimum of 5 years previous relevant experience in a similar post

  • Excellent organizational, interpersonal, communication skills.

  • Strong interpersonal skills and organizational sensitivity.

  • Stress resilient and ability to multi-task in a demanding environment.

  • Extremely structured, organized and flexible.

  • Ability to assimilate large quantities of written and verbal communication quickly and produce accurate, timely minutes.

  • Fluency in English both oral and written. Knowledge of Dutch is preferable.

  • Ability to deal with information of a confidential nature.

  • Excellent understanding of Microsoft Word, Excel and PowerPoint and Microsoft dynamics 365.

  • Knowledge of SharePoint is considered an asset.

  • A strong understanding of MSF or the humanitarian sector.

  • Able to handle issues with a high level of discretion and confidentiality

  • Proactive, result oriented, culturally sensitive

We offer

  • A Dutch employment contract for 6 months (for a full-time appointment based on 5 days per week) for a maternity cover

  • A gross salary in scale14 between 3.175 and 4.371 based on relevant professional work experience, for full-time employment (based on a 40-hour week)

  • A premium-free pension.
