We are currently seeking a full‑time Executive Assistant in our Wellsville, NY Administrative Offices to support the Executive Management team. To excel as a Full‑Time Executive Assistant at Clarity Wellness Community, candidates must possess a blend of administrative and interpersonal skills. Proficiency in software tools for data management and communication is essential, as you will provide clerical and administrative support to the CEO and team members. Additionally, the role requires a welcoming demeanor to create a pleasant experience for all guests. Prioritization, sound judgment, and the initiative to carry out diverse tasks efficiently are key to thriving in this supportive environment. Understanding and abiding by organizational policies is expected. Responsibilities Provide clerical, administrative, and business management support to the Clarity CEO, and other team members as assigned. Provide clerical human resource duties such as managing job postings, manage applicant data, authorized personnel for background checks, filing employee forms. Track and manage new hire orientation trainings, track monthly employee trainings. Serve as Clarity's liaison to Alcott HR in regard to managing leave time and requested accommodations. Oversee and submit bi‑weekly payroll runs to Alcott HR. Oversee and monitor all agency credentialing activities in collaboration with contracted vendor. Manage Clarity's Social Security Representative Payee program. Assist Compliance team with completing monthly vendor exclusion checks. Organize meetings, including scheduling, sending reminders and recording meeting minutes as assigned. Prioritize and carry out assigned tasks and exercise good judgment, initiative, and tact. Manage accommodations, FMLA, and PFL claims. Qualifications HS Diploma with a minimum of 6 years' experience with executive or senior level administrative support functions. Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail. Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint), Adobe Acrobat and other web platforms. Strong professional communication skills and excellent customer service required. Must have a valid driver's license in state employee resides.
