Job Summary

We are seeking a highly organized and proactive Executive Assistant to support a CEO, Managing Partner, and 2 Partners in achieving operational excellence and strategic goals. This dynamic role requires a motivated individual who excels in managing complex schedules, coordinating projects, and providing exceptional administrative support. As the right hand to our leadership team, you will play a vital role in streamlining daily operations, facilitating communication, and ensuring the Executives time is optimized for maximum impact. This role will work in conjunction with another assistant.


Duties

  • Manage the Executive's calendars with precision, scheduling meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
  • Serve as the primary point of contact for internal and external communications, demonstrating excellent phone etiquette and professional correspondence skills.
  • Coordinate a variety of projects across departments, ensuring deadlines are met through effective project management and follow-up.
  • Support personal tasks for the Executive's, including personal scheduling, event planning, and managing confidential information discreetly.
  • Utilize office software like Microsoft Office Suite to create reports, spreadsheets, and presentations that support executive decision-making.

Requirements

  • Proven experience as an executive assistant or in a similar administrative role supporting senior leadership, preferably within a law firm or financial institution.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Excellent communication skills both written and verbal, and professional phone etiquette.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
  • Experience with calendar management software such as Microsoft Outlook Calendar or Google Calendar.
