The Executive Bookkeeper and Administrator we seek is a high-level, multi-faceted role that is perfect for someone looking to show off their ability to perform independently in a fast-paced, deadline-based environment with poise and an eye for detail. Please note, this is not an entry level position and the right person for this job should be able to walk in and hit the ground running. Advanced bookkeeping and administrative skills, as well as heavy organizational skills, are a necessity as you’ll work in tandem with the entire office to fulfill goals and ensure the highest quality results for our clients.
This role requires attention to detail with the ability to understand them and translate that information in a comprehensive manner. This highly independent role requires advanced skills bookkeeping and payroll to include the use of QB Desktop and QB online, as well as various Microsoft Office programs, internal/proprietary software(s), email handling and management, and general computer usage. In addition to advanced bookkeeping skills, clear communication, both written and verbal, are essential skills for this position.
The right individual for this role is one who can work in a team setting yet can be self-sufficient enough to support the independent workload without the need to be micromanaged. This person should be able to build and maintain their daily task schedule to the benefit of the company and be willing to ask for more responsibility as you grow in the position. Ultimately, this individual will own their role in the company, looking to not only maintain but thrive and help themselves and the company grow.
The duties of this position are varied, and include (but aren't limited to):
ACCOUNT MANAGEMENT
· Day to day management of growing client base, each with unique needs whether bookkeeping or administratively oriented
· Familiarity with fillable forms, both their creation and usage to accommodate heavy data entry and analysis
· Heavy use of multiple databases, websites and online portals to submit and upload documentation
· Reading, analyzing and interpreting requirements for policies and contracts for dissemination of information to involved parties
· Customer Service - professionally communicating internally and externally to include support for incoming phone calls
· Accurately interpreting client needs in an efficient, timely manner
BOOKKEEPING AND ADMINISTRATION
· Daily phone and email correspondence, both internal and external
· Management of client calls and communications
· Performance of high-level bookkeeping and payroll processing
· Working with clients’ accounting and operational needs, data management, accurate tracking of information into various software and records.
· Daily bookkeeping in QB Desktop, QBO or other software as per unique protocol for each client.
· Follow ups to consistently get answers to questions, obtain missing data or confirm details to ensure accuracy of client records; participate with client calls.
· Other administrative duties related to this role

Expectations and Wages:
This job is a full-time in-office position, Monday-Friday, 7:00-4:00 PM, and after an approximate six months’ training period, you can expect up to a 10% pay increase. This job pays starting wage is between $55,000 and $58,000 depending on experience, and includes the opportunity for various bonuses, PTO and flexible sick time, stipends for individual health insurances, and access to a Roth IRA with funding support after one year of employment.
