We are hiring an Executive Secretary Senior for one of our clients in Hamilton, NJ.

Job Description:

  • Review sort and route incoming correspondence.
  • Schedule meetings, conference calls and other types of joint sessions which may include multiple internal participants.
  • Maintain high level executive's daily appointments, ensure ability to meet commitments, and handle coverage as necessary.
  • Organize and prepare meeting materials, agendas and any other informational documents or reports.
  • Work with multiple mid-level managers in collecting information for the purpose of preparing reports/documents and spreadsheets for high level executive review.
  • Compose/prepare internal and external correspondence for executive signature.
  • Develop effective work methods to perform other duties as deemed appropriate.
  • Makes arrangements for travel and speaking engagements and conferences.
  • Will be required to utilize various types of information software used by the agency to complete assignments.

Skills required:

  • Knowledge of secretarial, clerical, and other office routines, procedures, and practices.
  • Knowledge of proper sentence structure, correct spelling, proofreading, letter formatting.
  • Knowledge of business appropriate written and oral communication Compose/prepare meeting agendas, internal and external correspondence and emails, to include proper sentence structure, correct spelling, proofreading, and letter formatting.
  • Ability to schedule and manage Outlook Calendar, to include in person and/or hybrid meetings using Zoom or MS Teams.
  • Knowledge of commonly used office applications.
  • Ability to read and interpret department procedures.
  • Ability to multi-task.
  • Microsoft Office Suite: Word, Excel, Outlook, MS Teams, Zoom and Docu-Sign.

Experience required:

  • Three (3) years of experience in secretarial/administrative clerical work.
  • Experience scheduling and managing a high level executive's daily appointments using Outlook.
  • Experience with preparing travel arrangements and reports.

Work hours:

  • 9am to 5pm
  • Lunch - 1 hour Unpaid
