We are seeking an Executive Support Specialist 2 to support ODEs Grant Consolidation Team and Small and Rural Schools Unit. This position will be supervised by the Deputy Director. This is a limited duration position scheduled to end June 30, 2025.

This opportunity is available as a job rotation for current state of Oregon employees. Applicants must receive and attach their supervisor's authorization to apply. Applicants who apply for the job rotation without approval will be rejected.
This role is a hybrid of remote work and will need to report to the office when business or operational needs are dependent on onsite activities. Remote work is embraced to the fullest extent possible without interfering with business.
What you will do!

As part of the Deputy Directors Team, this position will provide confidential administrative support to the Grant Consolidation team and Small and Rural Schools Unit.

As an Executive Support Specialist 2 you will:
  • Schedule and coordinate meetings at the request of the team, for agency staff, staff from other public agencies (both state and federal), school districts, the media, and the general public. Meetings are primarily virtual or in-person.
  • Actively participate in various meetings in support of ODEs mission and its strategic goals, including but not limited to leadership team meetings; this includes drafting agendas, taking minutes, ensuring action items are followed up on and deadlines are met, and receiving and completing assignments from those meetings, some of which relate to sensitive, non-routine issues.
  • Draft materials on behalf of and/or for review by the team; including, but not limited to correspondence, presentations, reports, and talking points.

One year of experience performing administrative duties in support of agency projects or programs.
Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.
