Job Description: Title: Assistant Facilities Manager

Job Family: Facilities Management

Background Package: CBRE STANDARD PACKAGE -NO DRUG TEST-

Bill Rate: XX50-$59

Hours: M-F 8-5 PM

Remote/Hybrid/In-Person: In-Person

Location: 220 Massachusetts Ave. Cambridge, MA (offers parking)

Assignment Duration: 3 Months

Potential to convert to FTE, If so, what rate: yes, no rate at this time

Resource's typical working day:
Develop and maintain positive relationships with the greater facilities and operations team. This includes but is not limited to vivarium operations, lab managers, union technicians and third-party service providers.
Oversees and/or coordinates maintenance/repair work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping, and janitorial work.
Responds to client inquires and concerns. Ensures timely and quality service delivery to clients. Follows up with clients to ensure customer satisfaction.
Performs facilities inspections and prepares reports.
May coordinate and manage move, add and change activities.
Assists in the preparation of operating and capital budgets.
Manages vendor relationships and trains vendors on work order and billing procedures. Processes invoices and ensures proper cost center coding.
Reviews periodic reports including financials and explains variances. Works with finance team to correct errors.
Uses PC and/or mobile phone for work order system, email, process and procedure training.


Years of Experience needed: 2+ Year of project management or facilities management in regulated environments such as hospital/ healthcare, life sciences/ pharmaceutical and/or other critical environments.

Level of Education: H.S Diploma

Systems/Software proficiencies: Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet. Ability to use work order system.

Certifications/Licenses: n/a

Top Must have Skills:
Demonstrate leadership
Responsiveness
Strong in creating solutions for service.

Top Nice to have Skills: Previous experience with vendor / work order management preferred.

Interview Process: 2 Rounds of interviews
