Overview Job Description: FACILITIES SECRETARY Location: Facilities Operations Center (FOC) 12 Month Schedule Full-Time – 8 hours/day; Monday-Friday 2025-2026 Salary $17.16/hr. per RSPA Master Agreement for Classification II Qualifications High School Diploma with excellent command of the English language. General office experience preferred Strong computer skills and aptitude to learn software programs used in this position. Experience in administration of a data based work-order management system preferred. Ability to interact positively with school/community. Ability to handle a multitude of responsibilities minimal supervision. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. Job Goal and Reporting REPORTS TO: Manager of Facilities Operations JOB GOAL: To assist with the efficient operation of an automated work order system for the Maintenance and Grounds Department. Performance Responsibilities The performance responsibilities listed below represent an overview of the responsibilities for this position. Serves as secretary for the Maintenance and Grounds Department and provides clerical support, as directed by Manager. Greets visitors and answers phones promptly and courteously. Assists with district wide Facilities work order system. Prepares and distributes records of preventative and corrective maintenance activities. Creates and processes all facilities purchase orders. Maintain regulatory compliance paperwork, and facility inspection reports; distributes as requested. Prepares budget cards reconciliation date for review. Maintain Fuel Master Fule Management System and faciliatate Prokee access for employees. Coordinates animal trapping as needed. Assistis Facilities Scheduling Secretary as needed. Provide administrations support as needed, which may include date entry, filing, and maintaining office supplies. Terms of Employment 12 Month Position 8 hours per day Salary and benefits as per RSPA Master Agreement for Classification II Clerical Positions. Working Conditions An employee working in this assignment will be required to sit for long periods of time and work on a desktop computer. Data entry and record search is a large part of the duties of this position and repetitive hand motion will be required. Required Position Tests Microsoft Office Current District Version: Intermediate Word and Excel, and PowerPoint; and Office Basic Outlook; OPAC Clerical Skills Assessments in: Bank Deposits/Petty Cash; Customer Service Phone Skills; Numeric/Alpha/Record Locator Tests, Sentence Clarity, and Spelling.
