Job Summary
The Field Project Administrator supports field operations by managing the administrative, documentation, and coordination aspects of active projects. This role ensures projects stay organized, compliant, and on schedule by serving as a key link between field crews, project management, vendors, and clients. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced, field-driven environment.
Key Responsibilities
- Provide administrative and coordination support to Project Managers and field teams
- Maintain accurate and up-to-date project documentation (permits, contracts, inspections, reports)
- Track project schedules, work orders, change orders, RFIs, and submittals
- Prepare and distribute daily, weekly, and monthly project reports
- Coordinate communication between field staff, office staff, vendors, and clients
- Assist with compliance tracking related to safety, regulatory, and contract requirements
- Track project materials, equipment, and inventory; report discrepancies promptly
- Support scheduling of inspections, meetings, and field activities
- Maintain organized digital and physical project files
- Identify administrative process gaps and recommend improvements
Qualifications
- High school diploma or equivalent required (Associate’s degree preferred)
- 2+ years of administrative or project support experience (construction, utilities, or field operations preferred)
- Strong organizational and time-management skills
- Proficiency in Microsoft Office (Excel, Word, Outlook); project management software a plus
- Ability to manage multiple priorities in a deadline-driven environment
- Strong written and verbal communication skills
