Our client, a respected and growth-oriented investment management firm, is seeking a Financial Operations Specialist to support operational excellence and deliver an exceptional client experience. This role is integral to the day-to-day efficiency of the firm, overseeing a broad range of administrative, operational, and client-facing responsibilities. The Financial Operations Specialist will help ensure the seamless execution of financial transactions, maintain regulatory compliance, and serve as a key contributor to a high-performing, collaborative team environment. The ideal candidate is proactive, highly detail-oriented, and thrives in a fast-paced setting where accuracy, responsiveness, and professionalism are essential. Key Responsibilities Serve as the primary liaison between clients, advisors, and custodians to facilitate account servicing and operational requests. Schedule and coordinate client meetings, internal reviews, and team briefings. Prepare and process new account documentation, asset transfers, and money movement requests (e.g., wires, ACH, checks). Monitor and follow up on client service requests, ensuring timely and accurate resolution. Assist Portfolio Managers with client onboarding, reporting, and ongoing account maintenance. Potential to assist with data entry and other tasks to support Portfolio Managers in various financial planning and client management software systems. Draft professional correspondence, reports, and presentations for internal and external stakeholders. Maintain and update CRM systems, ensuring data accuracy and completeness. Collaborate with compliance and operations teams to ensure adherence to regulatory requirements. Support internal audits and assist with documentation for regulatory reviews. Manage special projects and contribute to process improvement initiatives. Provide backup support for front office operations and administrative functions. Qualifications & Requirements Bachelor’s degree in finance, Business Administration, or related field preferred; Associate’s degree required. Minimum 3 years of experience in financial services, wealth management, or investment operations. Strong understanding of financial instruments, account types, and transaction processing. Proficiency in financial software platforms (e.g., CRM systems, portfolio management tools, trading platforms). Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Exceptional written, verbal, and interpersonal communication skills. Demonstrated ability to prioritize tasks, manage multiple projects, and meet deadlines. High level of professionalism, discretion, and client-first mindset. Strong analytical and problem-solving skills.
