The Fleet Manager is responsible for overseeing the company's national fleet operations to ensure safe, cost-effective, and efficient vehicle usage across all locations. This role manages negotiating with fleet partners, preventive maintenance schedules, repairs, fleet safety programs, insurance and claims, vehicle tracking systems (e.g., Samsara), and lease/rental inventory compliance with company standards. This role will also be responsible for the ongoing financial analysis related to the lease costs of our vehicles monitoring mileage, tolls, additional fees and penalties. Key Responsibilities: Lead the management of the company’s national fleet, ensuring operational readiness, safety, and compliance across all regions. Negotiate fleet contracts with partners to ensure best rates Develop and implement fleet policies, procedures, and strategic improvements that align with business goals. Collaborate with regional managers to assess fleet needs and support market expansions. Establish and monitor preventive maintenance (PM) programs to minimize vehicle downtime and extend fleet lifespan. Track and analyze repair costs and trends to reduce expenditures and optimize vendor performance. Approve major repair work and ensure all work is completed in line with manufacturer and safety guidelines. Ensure interim vehicles are provided by vendors to avoid day to day operation disruptions. Fleet Safety & Compliance Oversee implementation and compliance of the fleet safety program, including driver training and corrective action processes. Manage the integration and usage of Samsara or similar telematics platforms to monitor driver behavior, routing efficiency, and real-time vehicle diagnostics. Lead accident investigations and corrective action planning to reduce recurrence. Insurance & Claims Serve as the primary point of contact for all auto-related insurance claims. Coordinate with insurance providers to ensure timely reporting and resolution of incidents. Maintain accurate claim records and ensure proper documentation for internal and external reporting. Fleet Inventory & Rentals Maintain accurate inventory of all fleet assets, including owned, leased and rented vehicles. Negotiate with fleet rental suppliers i.e. Penske, Ryder for better rates when needed Provide weekly data analysis on vehicle performance related to lease agreements to ensure we are complaint with terms and avoid penalties and additional fees Ensure that all vehicles meet company standards for branding, safety, and utility. Track vehicle lifecycle, assignments, utilization, and rotations to ensure efficient use. Preferred Skills and Qualifications: 3+ years of fleet management experience, preferably in a national or multi-regional role. In-depth knowledge of preventive maintenance practices, vehicle procurement, and asset lifecycle. Experience with fleet tracking systems (e.g., Samsara, Geotab, Verizon Connect). Strong understanding of DOT, OSHA, and other transportation safety regulations. Experience handling auto claims, insurance documentation, and vendor negotiation. Proficient in fleet management software and Microsoft Office Suite. Excellent organizational, communication, and problem-solving skills.
