Job Description

We're Looking for Our Next Rockstar Front Desk Administrator

This Isn't Your Typical Medical Office

At Health 1st, we don't just treat patients—we love on families. We nurture them. We celebrate their wins. And we become part of their healing journey in a way that feels like coming home.

We specialize in neurological chiropractic care for families, with expertise in pediatric and prenatal care. You'll work with babies struggling with colic and feeding difficulties, children facing developmental challenges, expecting mamas wanting comfortable pregnancies, and families seeking optimal nervous system function.

This is a family environment, not a corporate clinic. You'll know our patients' names, their kids' names, their stories. You'll watch babies hit milestones. You'll see pregnant mamas walk in exhausted and leave glowing. You'll be part of transformations that genuinely matter.

The Role: Front Desk Administrator

You'll be the heartbeat of our practice—the first face families see, the warm voice they hear on the phone, and the person who makes everyone feel welcome.

What You'll Actually Do Every Day:

Front Desk & Patient Care:

  • Open and close the office daily
  • Greet families warmly—learn their names, their stories, their kids' names
  • Manage calls, texts, appointment scheduling, and reminders
  • Watch children (and babies!) while parents are adjusted
  • Maintain a clean, organized, welcoming front office

Financial & Administrative:

  • Verify and explain insurance benefits with patience and clarity
  • Manage daily deposits and payment collections
  • Follow up on missed payments or outstanding balances
  • Track patient records and enter data into EMR
  • Handle stat sheets and billing

Marketing & Office Management:

  • Help management of marketing calendar and content
  • Order monthly inventory and office supplies

Your Schedule:

  • Monday, Wednesday, Thursday: 8:00am – 6:30pm
  • One Saturday morning per month: 8:00am – 10:30am (mandatory)
  • Admin hours: Occasional Tuesday or Friday (flexible)

This is the schedule. If you cannot commit to it, this isn't the right fit.

The Skills You Actually Need to Succeed:

Here's the truth: This is NOT a sit-at-a-desk job. You'll be moving all day, switching between tasks constantly, and juggling multiple responsibilities at once.

You'll thrive here if you:

Are naturally amazing with children and babies – You stay calm when babies cry, you can soothe nervous toddlers, and you genuinely enjoy kids
Can multitask without losing your mind – You handle 3 conversations, 2 phone calls, and a crying baby simultaneously
Are comfortable with expecting mothers – You create a warm, supportive environment during a vulnerable time
Have thick skin about money conversations – You can ask for payments and resolve billing issues without getting flustered
Show up punctual and positive – Fast-paced environments energize you, not drain you
Are a true team player – You jump in wherever needed without being asked
Can stay organized in chaos – Details don't slip through the cracks even when it's busy
Communicate clearly – Both in person and in writing (texts, emails, social media)
Are tech-savvy – You pick up new software quickly and understand how to properly us AI platforms
Believe in holistic healthcare – You're genuinely passionate about natural approaches to health

Bonus Points For:

  • Healthcare, wellness, or chiropractic experience
  • Experience working with children or in pediatric settings
  • Customer service experience in fast-paced environments

Our Culture: What It's Really Like Here

The Good:

  • Family-first atmosphere – We know our patients personally; this isn't transactional
  • High energy, high standards – We work hard and care deeply
  • Autonomy with support – We don't micromanage, but we're here when you need us
  • Growth-focused – We invest in your development through training and education
  • Mistakes are learning moments – We discuss them openly, no shame
  • Your ideas matter – We want you to contribute, not just execute

The Real Talk:

  • This is fast-paced and can be intense
  • You'll have challenging days with demanding patients
  • You need to be comfortable with babies crying and kids having meltdowns
  • You'll be on your feet most of the day
  • You'll need to have difficult conversations about money
  • The job will evolve as we grow

If you're driven by purpose, thrive in environments where no two days are the same, and believe in what we do—you'll love it here.

Growth Path: Office Manager Track

Here's how it works:

  • 90-day probationary period – Comprehensive training and evaluation
  • 12–24 months in role – Master the position, prove leadership capability
  • Office Manager promotion – Salaried position with full benefits package

We're building an Office Manager role for someone who demonstrates:

  • Leadership ability and team management skills
  • Systems thinking and process improvement
  • Financial acumen and business understanding
  • Commitment to our mission and culture

Compensation & Benefits:

Starting Pay: $20–25/hour (based on experience)

After 90 Days:

  • KPI-based performance bonuses
  • Free chiropractic care for you and immediate family
  • Wholesale pricing on supplements and wellness products

After Probation:

  • PTO package
  • Additional benefits discussed

This Isn't For Everyone

Don't apply if: You prefer slow-paced, predictable environments
You're not comfortable with children or babies
You need to sit at a desk most of the day
You can't handle asking for payments
You're not passionate about holistic healthcare
You cannot commit to the required schedule

How to Apply:

We need someone immediately.

Submit ALL THREE:

1️ Your resume

2️ A cover letter explaining:

  • Why you're excited about working in a pediatric/prenatal chiropractic practice
  • What specific skills and experience you'd bring to our team

3️ A brief video (max 1 minute) from your phone:

  • Tell us why you'd be great in this role
  • Show us your personality—just be you!

Applications missing any component will not be considered.

Ready to join our family?

If you're that person who shows up fully present, genuinely loves helping others, and wants meaningful work— we look forward to meeting you.
