SCOPE
The Front Desk Data Entry Specialist provides administrative, data entry, records management, and customer service support to the U.S. Air Force Military & Family Readiness Center (M&FRC), with a primary focus on supporting the Transition Assistance Program (TAP). This role serves as the initial point of contact for customers and is responsible for maintaining accurate records, processing data within Air Force systems, and ensuring professional front desk operations in accordance with Air Force Instructions (AFIs), program desk guides, and local policies.
REQUIRED SKILLS

Demonstrated proficiency in Microsoft Office (Word, Excel, Access)

Strong knowledge of grammar, spelling, punctuation, and document formatting

Ability to accurately enter, review, and maintain data in automated systems

Ability to communicate effectively, both verbally and in writing, using tact and courtesy

Ability to organize, manage records, and handle multiple administrative tasks simultaneously
PREFERRED SKILLS

Familiarity with Air Force terminology, programs, or administrative environments

Prior experience supporting military, federal, or DoD customer service operations

Experience with records management or data tracking systems
TASKS

Front Desk & Customer Service

Greet visitors and respond to telephone and electronic inquiries in a professional, courteous manner

Determine the nature of customer requests and route individuals to appropriate M&FRC staff or programs
-
Provide non-technical information regarding M&FRC programs, services, and appointment availability

Ensure customers complete required Statements of Understanding (SOU) and applicable forms

Data Entry & Administrative Support
-
Enter, update, and maintain customer data within AFFIRST, TAP ACCESS, Microsoft Access, and other authorized systems
-
Prepare, edit, proofread, and format routine and non-routine correspondence, reports, and documents
-
Maintain the M&FRC Outlook appointment calendar and track suspenses and deadlines
-
Consolidate data and generate reports in accordance with established procedures
-

Records & Files Management
-
Serve as the primary Records Custodian for the M&FRC
-
Establish, maintain, purge, and dispose of records in compliance with AFI 33-322 and the Air Force Records Disposition Schedule
-
Maintain electronic and paper files, file plans, reference materials, and publications
-
Manage receipt, control, logging, and safeguarding of sensitive or classified materials, as required

Office Automation & Systems Support

Utilize Microsoft Word, Excel, Access, and other office automation tools to create documents, spreadsheets, charts, and reports

Assist with troubleshooting basic system or software issues

Support development of training aids and provide hands-on assistance to staff as needed

Compliance & Professional Conduct

Perform all duties in accordance with AFI-36-3009, M&FRC desk guides, AFFIRST training guides, and applicable Air Force policies
