Fund Accounting Specialist Apply
Job Description
Location/Main Site: Hermiston, OR; Hybrid Remote option at the discretion of the Director of Finance and operation needs.
Job Goal:
To provide support, assistance, and technical fund accounting to meet daily operations of financial activities that include general Ledger transactions, budget activity recording, tracking, processing, and reporting of accounts payable and receivable, including submitting, tracking, and organizing grant funding requests and invoices. Utilizing central grants management and donor database systems, accounting and budgeting software, and conducting timely payments of invoices, receipt and recording revenue, tracking grant expenses, and submitting grant reports per funder deadlines including reviewing, researching and reconciling financial records and activities to ensure accuracy of ledgers, accounts, and systems.
Essential Responsibilities:
- Submit drawn downs and draw down reports regularly after submitting grant invoicing and expenditure reports
- Submit, track, and record grant invoices and grant expenses on timely matter and per funder deadlines
- Reconcile financial statements and financial databases regularly and as directed
- Track, record, and process invoices and purchase orders/procurement
- Enter information, input accurate data, and assist with general ledger tasks and other data base software
- Ensure revenue is accurately recorded and payments are receipted in the accounting and budget software
- Conduct and tracking grant invoicing and program expenses for grant reporting
- Adhere to organization’s financial policies and financial activities with following standard operating procedures and processes
- Ensure effective internal controls are in place and being followed
- Assist as needed in preparation and support for the annual financial audit including the 990 and other related financial or HR organizational audits
- Support the creation of financial reports and presentations as requested
- Manage the daily functions for accounts receivable
- Create detailed and complicated financial expenditure reports required to send to our funders per grant agreement terms
- Invoicing to our funders and service and contract revenue entities
- Serve as secondary support for Accounts Payable Specialist
- Maintain vendor relations and tracking vendor lists when it comes to payments
- Communicate and resolve reporting issues with funders
- Support audit inquiries
General Staff Responsibilities:

Education Requirements:
- Associates or Bachelors in finance, accounting or related field preferred
Experience and Skills Requirements:
- Five years of experience in finance or accounting position
- Budgeting and fund accounting software: SAGE Intacct, , Martus, or other related software
- MS Office
- Strong organization skills
- High attention to detail
- Excellent skills in building and managing financial information in Excel
- Pulling reports and recording budget forms and templates for expense tracking
- Creating and building invoices
Physical Requirements:
The physical demands and work environment described below are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to:
- Sit for long periods of time with daily use of computer screen;
- Do tasks involving repetitive arm and hand movements, such as heavy word processing/keyboarding, using various office tools to collate, punch, cut, or stamp paper and other repetitive or high-volume tasks such as bulk mailings, filing projects, etc.;
- Occasional filing is required. This would require the ability to lift files, open filing cabinets and bending as necessary;
- Occasionally required to stand, walk and reach with hands and arms;
- Occasionally lift and/or move up to50 pounds

Organizational Requirements:
- Current enrollment in the Child Care Division’s Central Background Registry
- Current physical examination, drug screen, and TB screen documentation prior to hire
- Ability to drive a private or Agency vehicle; must possess a valid driver's license and personal automobile or provide a plan that will allow fulfillment of position requirements. A DMV Record check will be conducted prior to hire.
- Fluent in English both verbally and written
