Program Description: The purpose of this project is to provide document/file conversion of historical media archives and recently received document/file [variety of different paper Tax Documents (Forms and Schedules) and Correspondence] into a digital computer-readable format for the IRS. The project will receive, control, and convert source materials to standardized, indexed, and searchable Portable Document Format (PDF) (PDF Image plus Text) electronic documents for an estimated 57 million images.
Position Description: Tasks to include document prep, document scanning, document storage, filing documents, coding and document shipping/ receiving. Prepare the finished product for shipment or storage. Work requires the placing of items in boxes and may involve one or more of the following: knowledge of various items in order to verify content, closing and sealing boxes, and applying labels or entering identifying data on box.
Responsibilities:
- Support project in identified capacities which may include some of the following dependent upon final role selection:
- Performs preparation of documents ready for storage. This may include the following:
- Removes certain preselected documents from processed work.
- Reviews documents for presence of certain information as described on form ID sheets or by identifiable color papers.
- Creates boxes ready for shipping and storage.
- Apply labels to completed boxes once ready for storage.
- Accurately utilize computerized systems and programs to carry out mailroom activities.
- Responsible for loading and unloading UPS vehicle with banker boxes and/or pallets.
- Remove content from boxes and place in appropriate location.
- Prep shipments for storage or return shipment.
- Operate and use mailroom tools and equipment in an efficient and safe manner.
- Retrieve and examine items in discard bins and ensure all items in bin are to be destroyed.
- Reference work instructions as needed.
- Required to attend mandatory meetings and trainings, work scheduled overtime with minimal notice, and perform other duties as assigned per business needs.
Training and Regular Schedule: Monday-Friday 8am-4:30pm. Overtime may be required throughout the week and/or on Saturdays. *Please note that holidays often fall upon Mondays. When this occurs, Tuesdays are heavier in workload.
Requirements
Years of Experience: 2 years of experience preferred
Education Requirements: High school diploma or equivalent
Required Skills:
- Must be at least 18 years of age.
- Able to read, write and speak English.
- Able to maintain confidential information.
- Successfully pass and maintain acceptable background checks and security clearances.
- High school diploma, or equivalent.
- Basic computer knowledge and Microsoft Suite experience.
