Oversees the coordination and processing of special acknowledgements, including Honor and Memorial gifts, matching gifts, and other non-standard thank-you correspondence. Ensures accurate preparation and distribution of donor acknowledgements, while maintaining up-to-date and accurate donor records in the database. Serves as a key point of contact for special handling requests, donor communications, and white mail research. Provides support to the Gift Processing and Mail Shop Departments as needed to ensure timely and accurate gift management and donor stewardship.

Essential Duties:

  • Exhibits regular and punctual attendance.
  • Manages the process for all Honor/Memorial Tribute gifts.
  • Prepares and distributes acknowledgements for donations requiring special handling or non-routine responses.
  • Coordinates the production of acknowledgements and prepares correspondence to donors for mailing.
  • Responsible for processing all gift changes in daily files from RTL.
  • Communicates professionally and effectively with donors.
  • Adds and edits names and contact information within the donor database as required.
  • Updates donor records to reflect changes requested by donors.
  • Completes matching gift and DAF donor forms, prepares acknowledgement letters to donors and companies, and records information in Raiser’s Edge.
  • Conducts research for all White Mail.
  • Processes all returned mail.
  • Provides assistance to the Gift Processing team as needed.
  • Provides assistance to the Mail Shop Department as needed.

Requirements

  • An associate degree in a business-related field or completion of college courses in a business-related field is required. 2 years of administrative or development experience and high school diploma or GED can be substituted for associate degree.
  • A minimum of 2 years’ secretarial, general office or mail operations experience is required.
  • Call Center experience is preferred.
  • Proficient competency in Microsoft Office for Windows applications (word processing, database, spreadsheet, e-mail, presentation graphics, etc.) is required including mail merge.
  • A minimum of 45 wpm typing speed is required.
  • Ability to write and use correct English grammar, spelling, and punctuation is required.
  • Must be proficient with 10-key by touch.
  • Must be proficient in general office equipment operation.
  • Must possess exceptional time management and detail-orientation skills.
  • Must be at least 21 years of age.
  • Must possess a valid Texas driver’s license.
  • Must be available for travel as needed.
