JOB DESCRIPTION:

The selected intern will work with the Office of Preparedness and Emergency Management on a project specific to the overall organization and maintenance of the Departments health volunteer database, MA Responds and other database related tasks as assigned. The selected candidate will be working on average 15 hours per week (2 days at 7.5 hours) and should have, excellent organizational, analytical, and interpersonal skills as well as a strong initiative, creativity, and self-motivation.

MA Responds is the Commonwealths online registration system for public health, healthcare, and emergency response volunteers in Massachusetts. The goal of the MA Responds database is to support rapid identification and utilization of pre-registered and credentialed volunteers in an emergency. The database serves as a volunteer management tool intended to help to support public health and healthcare emergency operations both locally and statewide.

Please Note: This internship opportunity is for undergraduate student who must be currently enrolled in an undergraduate program at an accredited College or University.
Duties and Responsibilities (these duties are a general summary and are not all inclusive):
  • Review, organize and manage data within the MA Responses system.
  • Review and correct clinical volunteer profiles with a federally designated emergency credential status deemed No Emergency Credential Level (ECL)
  • Identify and update missing data to ensure the automatic verification of volunteer emergency level credentials.
  • Provide data analysis.
  • Review previous state deployments messaging, response rates, demographics, etc. and capture key data points for reporting.
  • Support the launch of badging module for local volunteer units.
  • Develop training and technical assistance tools such as quick reference guides, support documents, virtual trainings, etc.
  • Development of a satisfaction survey for database users
  • Develop, implement, and analyze results of satisfaction survey.
  • Identify and present any opportunities for improvement based on survey results.
  • Assist with strategic planning and meeting support of public health volunteer programs using MA Responds
  • Identify areas for additional integration, data organization, and use of volunteer database.
  • Support the development of standardized policies and processes around credentialing, communications, deployments, etc. of volunteers within MA Responds as needed.
  • Create a volunteer newsletter and general volunteer communications as needed.
  • Occasional administrative operational support, assisting with reconciling the offices Personnel Activities Reports
  • Ability to periodically travel between our Boston and Marlborough Office.

  • Experience in emergency preparedness and quality improvement.

Contract Period of Service:


2/1/2024 to 6/30/2024 (Renewable subject to appropriation).

Additional Contract Information:
  • Benefits are unavailable with the exception of sick leave accruals.
  • Contracts are renewable, subject to the Department approval, performance, and allocation of funds.
  • All employees will be paid on a biweekly basis and must have direct deposit.
