We’re currently supporting the scale of a healthcare organization, and we’re looking for a Healthcare Operations & Project Manager who can grow with the project from its foundation — working closely with our internal team and eventually staying on long term with the client to lead day-to-day operations.
We are seeking a proactive, organized, and experienced person to help build and manage operational systems for a healthcare client from the ground up.
This person will collaborate with Valgorithm’s leadership team during the initial setup and will then transition into an ongoing operational management role — overseeing clinical workflows, provider coordination, and process improvement.
The ideal candidate has healthcare operations experience, strong project management skills, and a people-first approach to leadership.
Responsibilities
1. Healthcare Operations Management
- Manage day-to-day operations for the healthcare client, ensuring smooth clinical and administrative workflows.
- Oversee provider schedules, availability, and onboarding processes.
- Develop and maintain clear Standard Operating Procedures (SOPs) for key operational areas.
- Support the creation of training materials and coordinate team onboarding and performance monitoring.
- Monitor compliance with licensing, credentialing, and other healthcare regulations.
- Identify opportunities to improve efficiency, communication, and service delivery.
2. Client & Stakeholder Coordination
- Serve as the main operational contact between Valgorithm, the client, and partner teams.
- Support the CEO in managing client relationships and meetings, ensuring follow-ups and deliverables are completed.
- Prepare agendas, meeting notes, and project updates.
- Communicate proactively to maintain alignment between stakeholders and team members.
- Represent Valgorithm’s professionalism and values in all client interactions.
3. Project Coordination & Execution
- Translate strategic goals into clear project plans and timelines.
- Track milestones, deliverables, and progress in collaboration with the internal project team.
- Coordinate internal resources to ensure projects are completed on time and aligned with client priorities.
- Assist with documentation, reporting, and feedback loops for continuous improvement.
4. Financial & Strategic Operations Support
- Support pricing analysis, contract coordination, and financial process documentation.
- Collaborate on provider compensation reviews and operational cost optimization.
- Identify bottlenecks and propose system improvements to enhance profitability and scalability.
Requirements
Education & Experience
- Bachelor’s or Master’s in Health Administration, Healthcare Management, or a related field.
- Minimum 3+ years of experience in healthcare operations, clinical coordination, or project management.
- Proven experience managing healthcare providers or clinical teams.
- Strong understanding of healthcare compliance, telehealth workflows, and administrative operations.

First 30 Days - Learning, Alignment & Setup
Goal: Understand the client’s ecosystem, projects, and workflows. Begin supporting project organization and client communication.
Key Actions:
- Complete onboarding to Valgorithm’s systems, tools, and communication cadence.
- Learn the client’s mission, operations, and existing service lines.
- Review all active and upcoming projects to understand priorities, scope, and stakeholders.
- Begin organizing project tasks across platforms — creating or updating trackers, timelines, and action lists.
- Shadow CEO in client and partner meetings to observe communication flow and decision-making.
- Start supporting client & stakeholder coordination, including scheduling meetings, preparing agendas, and documenting follow-ups.
- Review current SOPs, workflows, and documents to identify areas needing clarity or structure.
- Establish regular touchpoints with internal Valgorithm team and the client to ensure alignment.
Key Results by Day 30:
- Project tasks are documented, tracked, and clearly organized by priority.
- Meeting agendas and follow-up processes are consistent and reliable.
- Clear understanding of client structure, needs, and communication style.

Days 31-60 - Operational Ownership & Process Development
Goals: Take ownership of project management and operational coordination. Begin formalizing processes and provider-related structures.
Key Actions:
- Fully manage project tracking systems — ensuring deliverables, owners, and due dates are clear and current.
- Lead coordination of recurring meetings (internal and client-side), including follow-ups and summaries.
- Begin drafting Standard Operating Procedures (SOPs) for core operational processes (provider management, scheduling, communications, client onboarding, reporting).
- Collaborate with internal team to refine project priorities and anticipate client needs.
- Support CEO by preparing summaries, updates, and progress reports for client review.
- Take initial ownership of provider coordination: tracking availability, verifying licenses, assisting with onboarding steps, and maintaining documentation.
- Identify operational gaps and propose practical solutions or process improvements.
Key Results by Day 60:
- All projects have active, updated tracking systems and clear visibility of progress.
- First set of draft SOPs completed and reviewed.
- Smooth communication rhythm established between Valgorithm, the client, and providers.
- Demonstrates ownership of day-to-day project coordination with minimal supervision.
Days 61-90 - Full Autonomy & Strategic Partnership
Goals: Lead daily operations confidently, manage provider relations, and drive process improvements to prepare for long-term ownership with the client.
Key Actions:
- Take full ownership of daily operations for the healthcare client.
- Manage provider performance, scheduling, and communication.
- Finalize and implement SOPs and training guides for the client’s operational team.
- Oversee cross-project timelines and ensure accountability across all stakeholders.
- Lead weekly client meetings to present operational updates and discuss priorities.
- Identify and implement process optimizations that increase efficiency and reduce bottlenecks.
- Collaborate with Valgorithm’s team to prepare a roadmap for the client’s internal operations handoff and long-term sustainability.
- Provide consistent reports and insights to the CEO on progress, challenges, and recommendations.
Key Results by Day 90:
- Acts as the main point of contact for daily operations and provider management.
- SOPs and training materials are implemented and used consistently.
- Operational systems run smoothly with minimal oversight.
- The client experiences clear communication, structured workflows, and improved efficiency.
- Demonstrates readiness for long-term operational leadership with the client.
