Job Title: HR Payroll & Invoice Specialist

Carter Lard Consulting - Staffing and Shelter Housing

Location: Mostly Remote with the ability to travel into New York City if required

Salary: $65k-80k

Job Type: Full time

Job Summary: The HR Payroll & Invoice Specialist will be responsible for managing payroll, responding to employee inquiries and creating monthly invoices for our clients. This role requires someone with a strong attention, who can maintain accurate payroll records, ensure compliance with relevant laws, and process invoices efficiently. The ideal candidate will have strong organizational skills, be detail oriented, and have the ability to work collaboratively within a fast-paced environment.

Key Responsibilities:

Payroll Administration:

  • Process our alternating bi-weekly payrolls in a timely and accurate manner.

  • Ensure employee data such as hire dates; terminations salary adjustments are kept up to date processed correctly in our payroll system Paychex.

  • Make sure proper deductions are set up and being taken from employee's paychecks including tax withholding, benefit deductions and garnishments

  • Verify and address any timesheet issues and make sure timesheets are accurate on a weekly basis

  • Manage employees PTO time, making sure they are set up with accurate PTO accrual profiles, and tracking employees who request time off by adding it to a PTO Calendar and confirming employees are paid for this time

  • Maintain accurate payroll records and prepare payroll reports as needed.

  • Respond to employee inquiries regarding their time sheet, PTO, Pay and other issues

  • Ensure compliance with federal, state, and local payroll regulations and tax laws.

  • Prepare and submit payroll tax filings and reports as required.

  • Assist with audits by providing necessary documentation and information.

  • Stay updated on changes in payroll laws and regulations.

  • Assist with HR-related tasks as needed

Invoice Processing:

  • Create and process monthly invoices for our clients in a timely and accurate manner

  • Address client concerns regarding invoices and reconcile/resolve any discrepancies

  • Maintain organized records of all invoices and payments.

  • Assist with monthly and year-end financial closing processes related to invoices.

  • Support the finance team with any additional administrative duties.

Qualifications:

  • Bachelor's degree in Human Resources, Accounting, Finance, or a related field preferred.

  • 3-5 years' experience processing payroll and invoicing

  • Experience with Paychex and QuickBooks preferred

  • Staffing firm experience preferred

  • Strong understanding of payroll and accounting principles.

  • Proficiency in Microsoft Office Suite (Excel, Word)

  • Excellent organizational and time-management skills.

  • Strong attention to detail and accuracy.

  • Ability to handle sensitive and confidential information with discretion.
