About The Role
Were seeking an HR/Administrative Assistant to support our broader Talent & Employee Experience team and St. Louis Park, MN office. If the idea of having a dynamic role that supports Human Resources initiatives, administrative office tasks, and complex calendar management appeals to you, then we have an opportunity with your name written all over it! This is a visible, high impact position that requires you to visit our St. Louis Park, MN office several times a week; thus living in Minnesota is a must.
Reporting into our VP Talent & Employee Experience, you will support our Talent and Employee Experience team which serves as our Human Resources function, and support our local Minnesota office. We are looking for someone to use their excellent customer service skills to WOW our employees and guests, support calendar management for our executives, and ensure our backend HR processes run smoothly.

About The Role

We are looking for someone to use their excellent customer service skills to WOW our employees and guests, support calendar management for our executives, and ensure our backend HR processes run smoothly.
Why We Need You
- Support our Sr. HR Generalist & Talent Acquisition Specialist with broader HR and recruitment tasks
- Maintain accurate & up-to-date personnel data in our HRIS (BambooHR) with integrity & confidentiality
- Periodically run reports & audits of HR files to ensure all required documents meet compliance standards
- Assist employees with understanding Icarios benefits, human resource policies & procedures; redirecting them as needed to the relevant subject matter expert
- Track & celebrate employee birthdays & anniversaries
- Assist with off-boarding procedures
- Process expense reports
- Complex calendar management for our executives
- Organizing on-site/off-site/virtual meetings and events across multiple time zones
- Arranging domestic travel plans, itineraries, and agendas
- Managing contract and price negotiations with office vendors and service providers
- Retrieving, sorting, routing, sending and handling daily mail, including FedEx or UPS deliveries
- Ordering and manage inventory of office supplies
- Additional duties as assigned

- 2+ years of calendar management experience
- Excellent written and verbal communication skills
- Ability to work in office multiple days a week
- Exceptional interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism and diplomacy
- Superior attention to detail
- Proficient and/or able to quickly learn payroll management, human resource information systems & related HR platforms
- Stellar organization skills and comfort operating in a fast-paced environment
- Driven by high standards, with a strong desire to contribute and help
- Ability to flex between collaborative and independent work tasks/projects
- Comfortable working independently
- Highly proficient in Microsoft Suite applications
