The Human Resources & Recruiting Associate will provide hands-on support across recruiting, onboarding, HR operations, performance-management processes, professional-development programs, and employee initiatives. The position is operational and execution-focused. Success will come from exceptional organization, responsive communication, accuracy, discretion, and follow-through rather than ownership of HR strategy or employee relations.

Scope:

Recruiting and Candidate Coordination

  • Coordinate interviews involving candidates, recruiters, hiring managers, interview panels, and other internal stakeholders.
  • Manage calendars, interview schedules, virtual meeting links, conference-room arrangements, and other interview logistics.
  • Serve as a professional and responsive point of contact for candidates throughout the interview process.
  • Prepare and maintain job postings, candidate records, interview schedules, and recruiting documentation.
  • Update candidate activity and requisition information in the applicant tracking system.
  • Track interview feedback, follow up on outstanding evaluations, and assist with candidate debriefs.
  • Coordinate with external recruiting partners and other third parties as needed.
  • Support background checks, reference checks, pre-employment requirements, offer administration, and related hiring activities.
  • Assist with candidate expenses, recruiting invoices, and other administrative items.

Onboarding and HR Operations

  • Coordinate new-hire onboarding, including paperwork, internal notifications, orientation schedules, and first-day logistics.
  • Partner with HR, IT, administrative teams, and other internal groups to help provide an organized and positive onboarding experience.
  • Maintain accurate employee and candidate information in the organization’s HR and recruiting systems.
  • Prepare reports, trackers, templates, presentations, and recurring communications for the HR and Recruiting team.
  • Conduct routine data reviews and follow up on incomplete or inconsistent information.
  • Respond to routine candidate and employee questions or direct inquiries to the appropriate HR team member.
  • Maintain process documentation and help improve recurring administrative workflows.

Performance Management and Employee Programs

  • Assist with the administration of midyear and year-end performance-review processes.
  • Prepare system information, communications, review materials, completion trackers, and meeting schedules.
  • Monitor deadlines and follow up with employees, reviewers, and managers regarding outstanding items.
  • Coordinate talent-review and calibration meetings and organize supporting materials.
  • Support training, mentorship, professional-development, internship, and early-career programs.
  • Assist with employee surveys, team events, offsites, and other culture or engagement initiatives.
  • Provide project and administrative support for additional HR and Recruiting priorities as needed.

Qualifications

  • Post-undergraduate professional experience in recruiting coordination, human resources, people operations, executive search, program coordination, project support, or another fast-paced and people-oriented environment.
  • Experience coordinating complex calendars, interviews, meetings, or events involving multiple stakeholders.
  • Exceptional organization and attention to detail, with the ability to manage several active priorities and deadlines.
  • Professional written and verbal communication skills.
  • Strong service orientation and an interest in creating positive candidate and employee experiences.
  • Sound judgment and the ability to handle confidential information with discretion.
  • Proactive approach to identifying issues, communicating changes, and keeping processes moving.
  • Ability to work collaboratively while independently managing assigned responsibilities.
  • Willingness to handle both recurring administrative responsibilities and project-based work.
  • Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Experience with Workday or another applicant tracking or HR information system is preferred.
  • Experience in financial services, professional services, consulting, legal services, executive search, or another high-expectation corporate environment is helpful but not required.
  • Genuine interest in developing a long-term career in Human Resources, Recruiting, or Talent Management.
