Job Description:
SUMMARY: Support Fleet Planning teams for the proper onboarding of Mariners, Cadets, UAs, and PICOs.
Ensure all mariners have the appropriate qualifications for the positions filled and process all onboarding paperwork.
GENERAL RESPONSIBILITIES:
- Provide administrative support to the Fleet Planners, working with minimal supervision.
- Assure that the vessel is crewed with qualified, physically fit, and able mariners for all needed positions.
- This entails verification that all crew documents and credentials, training, medical and drug-free requirements are valid and current.
- Process all onboarding paperwork and documents.. Prepare and maintain integrity of all personnel records in coordination with other company departments.
- Identify discrepancies and expirations of personnel qualification.
- Provide high quality customer service and direct communication regarding assignments for mariners.
- Interacts with union hiring halls to dispatch mariners as required.
- Assist with standardization and streamlining of departmental processes and training.
- Provide reports on manpower, work utilization, and assignments as required. Other admin duties as assigned.
EDUCATION: High School diploma or equivalent with 1 to 3 years experience in admin or Associate/Bachelor's degree.
EXPERIENCE: 1-3 years experience in marine crewing operations preferred.
TECHNICAL PROFICIENCY: Proficient in Microsoft Office products, including Excel, Outlook and Word in addition to programs such as Filenet, NS5, Smartsheets, Anderson-Kelly web portal, SIU, AMO and USCG web portals.

- Ability to effectively manage projects that may vary in nature and scope.
OTHER: Must be available/on-call after hours for emergency crew requests. May require travel to multiple locations.
