Overview:
Counterpart International is currently seeking an Administrative Support Senior Officer. This is a full-time position based in Washington, DC. In this role, the successful candidate will have two primary responsibilities: support the Vice President Strategy by providing comprehensive operational and administrative support related to Board of Directors and Board committees, and short-term coverage for other administrative support staff while those staff members are out of the office. The ideal candidate will possess strong organizational and communication skills, acute attention to detail, and a strong motivation for efficient and effective solutions. To succeed in this role, you will need excellent problem-solving skills and the ability to manage multiple projects and priorities simultaneously. The candidate must exhibit a consistent adherence to ethical standards in handling privileged information. This includes a proven track record of handling sensitive information with discretion and integrity.

This role will be hybrid with a requirement for two days/week in Counterparts DC office. The candidate will also be required, as determined by the supervisor, to be present in the office during the week of in-person Board meetings, while providing temporary coverage for administrative roles that are in-person, and certain special events.
Responsibilities:
Board of Directors operations
  • Transform verbal and written content for Board and committee meetings into high-quality professionally formatted outputs, including but not limited to meeting agendas and reading materials. Assist VP Strategy in communicating and tracking leadership teams inputs and deadlines related to Board meetings and requests.
  • Manage, maintain, and enhance the Counterparts Board of Directors online portal, Board member contact information, Board member terms & tenures table, and related items.
  • Maintain tracker of Board and executive leaderships action items that derive from Board meetings and ad hoc requests from Board to management. Also maintain tracker of all Board resolutions.
  • Prepare Board documents for electronic signatures, such as off-cycle Board resolutions.
  • Manage procurements for Board-related professional services if/as they arise.
  • Send Board meeting and Board committee meeting invitations, and track RSVPs.
  • Manage travel arrangements for members coming to DC for meetings and members who make international project visits.
  • Process Board member expenses for reimbursement.
  • Research options, schedule, and manage Board dinners (currently two per year).
  • Schedule orientation for new Board members; orient board members on travel, expense reimbursement, and other administrative topics.
  • Other tasks related to Board of Directors operations as assigned.
Collaboration with and short-term coverage for other administrative staff
  • Collaborate effectively with other administrative staff to ensure consistent and aligned support.
  • Provide coverage for other administrative staff while they are on paid-time off or are otherwise out of the office.
Qualifications:
  • Bachelors degree or equivalent level of experience.
  • Minimum 5 years of work experience in administrative support, operations, and/or project management.
  • Demonstrated experience in efficiently managing administrative tasks, including scheduling meetings, handling correspondence, organizing documentation, and responding to ad hoc requests.
  • Highly proficient in Microsoft applications, particularly Outlook for calendar management and Word for document creation, editing, and formatting. Experience with SharePoint, Excel, Power Point, Microsoft Project, Adobe Sign, and Board management software preferred.
  • Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders, and to draft clear and concise communications.
  • Demonstrated ability to identify and resolve administrative challenges, exhibiting a proactive and solution-oriented approach in handling day-to-day tasks and unexpected issues. Proven experience and ability to manage a varied workload supporting a wide range of initiatives at the same time.
  • Commitment to diversity, equity, and inclusion in the workplace, including interest and comfort in working in a global, multi-cultural setting.
  • Demonstrated ability to work with diplomacy, flexibility, efficiency, and enthusiasm in a fast-paced and complex internal and external environment.

Annual Salary Range: $58,446- $75,980
