General purpose: The Office Assistant (OA) is a paraprofessional member of the Residence Life Team at the Maryland Institute College of Art. The Office Assistant shares the responsibility for implementing the basic goals of the Residence Life Department by promoting individual and community development through front-desk operations and interactions, as well as serving as a liaison to the Professional Staff Team as designated by the Assistant Director of Central Operations. The OA reports directly to the Housing Operations Manager.
Summary of Essential Functions
  • Assist in logging office visitors daily to assist with tracking ORL trends
  • Assist Housing Operations Manager in administrative responsibilities (Ex. Website Audits, Communications)
  • Manage phone calls at the Residence Life front desk
  • Assist in Housing Operations Key Audit
  • Assist in StarRez as a testing student user
  • Receive incoming inter-campus mail at the Residence Life front desk
  • Assist with Housing Operations and seasonal postings in Residence Halls
  • Attend weekly Residence Life staff meetings
  • Present for Residence Hall Openings and Closings
  • Arrive early and depart late for semester training and closing responsibilities
Essential Duties & Responsibilities
  • Greet all visitors to the Office of Residence Life and direct them to the correct ORL staff member
  • Answer phone, answer questions, and transfer to the appropriate staff members when applicable
  • Take and distribute accurate messages
  • Understand office staffing and roles
  • Perform key-related tasks such as key audits and lock-outs
  • Manage the administrative tasks associated with the opening and closing of the Residence Halls
  • Create documents, communications, and advertisements relevant to the Office of Residence Life
  • Maintain an organized and clean workstation
  • Assist with keeping the common spaces of the office suite clean and organized
  • Under the direction of the Housing Operations Professional Staff, Oversee the management of the residential studio spaces
  • Assist with planning and participation in Housing Operations programming initiatives
  • Perform other duties as assigned by the Housing Operations Manager, Assistant Director of Central Operations, or Director of Residence Life
24-25 ORL Student Staff Timeline
  • Fall Training: Sunday 08/11/24 - Tuesday 08/20/24
  • Contractual Pause: Saturday 12/14/24 @ 9 pm
  • Winter Training: Wednesday 01/08/25 - 01/09/25
  • Spring Contract End Date: Wednesday 05/07/25
Knowledge, Skills, and Abilities
  • Set a positive example for other students in abiding by policies
  • Encourage and develop an environment within the Residence Life office that supports daily operating functions
Minimum Qualifications
  • Must be a currently enrolled MICA student at the time of employment
  • Must maintain a minimum GPA of [2.5]
Compensation
  • OAs will work a maximum of 10 hours per week unless otherwise notified by their direct supervisor
  • $15 per hour
Conditions of Employment
  • Must be able to attend training sessions prior to the start of each semester
  • Required to work during the opening and closing of the residence halls each semester
  • Must be able to attend weekly Residence Life Staff Meetings on Wednesdays from 2:30 pm - 3:45 pm
  • Cannot hold another iLEAD position while in the OA position
  • Student employees may not work more than 20 hours per week across all on-campus positions.
