Overview:
The ASPIRE Engineering Research Center at Utah State University has an immediate opening for a highly motivated Industry Advisory Board (IAB) Coordinator (Program Coordinator III) to join our team.

In 2023, the Utah Legislature passed Senate Bill 125 Transportation Infrastructure Amendments designating responsibility to the ASPIRE Engineering Research Center to develop a 30-year action plan that builds an intelligent, electrified transportation system throughout Utah. This multi-year initiative is moving forward under the leadership of a seven-member steering committee with the additional guidance of an Industry Advisory Board.

The role of the Industry Advisory Board is to assist the strategic planning and development of Utahs Intelligent and Electrified Transportation Plan initiative. It is sectioned into nine teams that are comprised of stakeholders, industry partners, and government agencies that impart information and insight relevant to their specialized expertise. Each team meets regularly, typically on a monthly or quarterly basis via online video conference, to discuss the planning effort and develop guidance for the technical analysis staff and the steering committee.

The IAB Coordinator will play a pivotal role in providing effective operational support to the leadership of each team. The successful candidate will be responsible for providing daily oversight, support, and coordination to the IAB and its various teams. This role requires strong organizational and communication skills.

This position is eligible for hybrid work within the state of Utah.
Responsibilities:
Provide daily support to the IAB and its various teams:
  • Serve as the principal liaison between the Director of Electrified Transportation Planning, the IAB Executive Team, individual IAB members/organizations, and the technical analysis and marketing and communications staff.
  • Under the general direction of the Director of Electrified Transportation Planning, coordinate the day-to-day administrative, fiscal, and operational activities while providing for their continual refinement and improvement to create seamless operations and coordination.
  • Manage schedules/calendars, schedule meetings, and provide necessary meeting support.
  • Serve as administrative proxy in the absence of the Director of Electrified Transportation Planning.
  • Facilitate seminars, meetings, and special projects that may include planning and arranging venues, catering, promotional emails/materials, and travel arrangements.
  • Ensure completion of clerical and administrative support tasks, including creation, typing, and editing of correspondence, purchasing documents, reports, program handbooks, and other publications.
  • Prepare and analyze scheduled and special reports; maintain program records and statistical information.
  • Assist with annual report data collection and writing.
  • Write and/or assist with writing grants and proposals as appropriate to the objectives and funding nature of the program.
  • Coordinate discussion and proposal development of grant opportunities among the IAB teams.
  • Maintain and create content for the planning initiative and IAB website.
  • Greet and direct center visitors.
  • Participate in development and implementation of center policies and procedures; provide training, instruction, and/or consultation to students, faculty, and/or staff.
  • Perform miscellaneous job-related duties as assigned.
This position may require statewide travel to meetings, seminars, and conferences.
