Institutional Advancement Coordinator Apply
Classification/FLSA Status Level II (Full-Time/Exempt)
Role Description: The institutional advancement coordinator will manage the receipt of all contributions, financial reporting to the Business Office, and maintain the integrity of the colleges database of alumni, donors and supporters. Additionally, the institutional advancement coordinator will work with the department to enhance stewardship and contribute to departmental initiatives as needed.
Key Responsibilities:
- Manage donations promptly and accurately to assure timely donor acknowledgements, pledge reminders and renewal notices
- Manage and update donor database records to ensure reliable data
- Routinely run database reports and downloads to maintain and compile information providing statistics supporting the Regent Program, Alumni Directory and Constant Contact and as requested by the Chief Operating Officer/Chief Financial Officer
- Manage and produce monthly donation reports and reconcile financial numbers with the Sherman College Business Office
- Assist with or arrange for copying/printing/mailing for department as required for direct mail campaigns
- Provide professional and courteous customer service to donors, visitors, and community members
- Assist with follow up to donors via phone calls, emails, and mail to ensure pledge payments, verify donor information, and responding to general philanthropic inquiries
- Assist with maintaining website content to reflect current division information
- Support division related events and annual scholarship program
- Manage, receive and distribute all incoming mail for department on a daily basis
- Lend enthusiastic support to the college policies and to fellow co-workers particularly in the presence of students
- Participate in the annual Lyceum program
- To fulfill other duties as assigned by the Chief Operating Officer/Chief Financial Officer
- To demonstrate commitment to the mission of Sherman College and support the President and all Presidential Initiatives
Basic knowledge and skills:
- Associates degree in business, marketing, computer technology, public relations, communications, nonprofit management, English, or related field.
- Excellent interpersonal and communication skills (written and verbal)
- Ability to work in a fast-paced environment
- Detail oriented
- Strong team player
- Ability to meet deadlines
- Ability to keep division documents and files organized
- Computer skills including experience with spreadsheets, word processing, and data entry
Preferred knowledge and skills:
- Bachelors degree in business, accounting, computer technology, public relations, communications, nonprofit management, English or related field
- Previous college work experience
- Database management, namely Bloomerang
Physical demands and work environment:
Physical Demands: While performing the duties of this job, the employee is occasionally required to sit; use hands to finger, handle or feel objects or controls; reach with hands and arms; talk and hear. Specific vision abilities required by the job include close vision, distance vision and the ability to adjust focus.
Work environment: While performing the duties of this job the employee works in a controlled work environment and the noise level in the work environment is usually minimal. Ability to travel after traditional work hours or during weekends as needed.
