Responsibilities

  • Greet clients and visitors professionally at the front desk, ensuring a welcoming environment
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments, manage calendars, and coordinate meetings for attorneys and staff
  • Handle data entry, filing, and document proofreading with high accuracy
  • Utilize Microsoft Office, Google Workspace, and other software for document creation and management
  • Maintain organized records of client information, case files, and correspondence
  • Provide customer support by answering questions and providing information in a courteous manner
  • Support office management duties including supply inventory, mail handling, and general clerical tasks
  • Ensure adherence to office policies and confidentiality standards


Qualifications

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual in English and Spanish is required to assist diverse clients effectively
  • Exceptional organizational skills with the ability to multitask efficiently
  • Attention to detail for proofreading documents and managing schedules accurately
  • Strong customer service orientation with professional communication skills
  • Ability to handle clerical tasks such as filing, proofreading, and calendar management efficiently
  • Personal assistant or legal receptionist experience is advantageous but not required
